Office Administrator
Responsible for overseeing the daily operations of the office focusing on communications and clerical support for the organization.
```Duties```
- Open and close the office at the designated hours.
- Manage front desk operations, including customer service.
- Communicate effectively with team members, clients, and vendors developing professional and amicable relationships.
- Coordinate office activities and operations to ensure efficiency and adherence to company policies.
- Manage calendars, receive and schedule service requests and appointments for service technicians and company president.
- Process work orders and issue customer invoices using Quick Books.
- Data entry of vendor bills, purchase orders and job estimates in Quick Books.
- Handle vendor quotes and orders for parts and equipment.
- Provide administrative support to the company president. Provide weekly report of open service requests. Generate reports upon request such as job cost audits.
- Organize and maintain files and documents in both physical and digital formats.
- Ensure office areas are tidy and presentable.
- Perform other related duties as assigned by management/owner.
```Qualifications```
Education: High school diploma or equivalent.
Experience: Minimum 3 years Commercial HVAC industry experience.
Experience: Quick Books Premier experience.
Must be able to work full-time.
Valid driver license.
Must pass drug test and background check.
