Property management company in Warrenton, VA is seeking a RELIABLE, FLEXIBLE, and CONSCIENTIOUS OFFICE ADMINISTRATOR.
- Customer service representative (by phone and in person), fielding to community managers, as needed; providing account interpretation and documentation to owners
- Coordinate with realtors and title companies to process resale certificates, disclosure packets, dues requests, and closing paperwork for real estate transactions
- Communicate with and welcome new owners, explaining community essentials and payment options
- Receive and process assessments, account management, banking statements and reconciliations
- Timely generate invoices, late statements, and notifications for each association
- Track and report monthly incidentals for billing purposes
- Work with attorneys, paralegals for owners in collections/bankruptcy
- Account maintenance in database for each resident and community
- Maintain consistency in outgoing communications (electronic and physical)
- Proof newsletters before publication
- Coordinate parking permits for community residents
- Maintain association incorporation documents
- Coordinate all associations’ calendars, notices, newsletters, DPOR licenses, certificates of insurance
- Update and maintain lot files, association accounts receivable/payable files, association banking files, Aubinoe banking files and statements (relating to VA office)
- Coordinate office calendar of events, office supplies, and equipment maintenance
- Assist community managers with special projects, as requested
- Assist with any other functions to expedite office proficiency
Job Type: Full-time
Pay: $16.00 - $17.00 per hour
Expected hours: 40 per week
