Responsibilities:
- Manage and maintain office supplies and inventory
- Greet and assist visitors, clients, and employees
- Answer phone calls, take messages, and redirect calls as necessary
- Schedule appointments and maintain calendars for staff members
- Coordinate and schedule meetings, conferences, and events
- Prepare and distribute memos, emails, letters, and other correspondence
- Assist with budgeting and financial tasks, such as expense tracking and invoice processing
- Maintain filing systems and ensure documents are organized and easily accessible
- Assist with onboarding new employees and maintaining employee records
- Coordinate travel arrangements for staff members
Qualifications:
- Proven experience as an Office Administrator or in a similar role
- Excellent organizational skills with the ability to prioritize tasks and meet deadlines
- Proficient in calendar management and scheduling software
- Strong attention to detail and accuracy in all work tasks
- Knowledge of budgeting principles and experience with financial software (e.g., QuickBooks)
- Strong communication skills, both written and verbal
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Ability to multitask effectively in a fast-paced environment
- Previous experience in front desk or customer service roles is beneficial
