Position: Office Administration
Reports To: General Manager
What does an Office Administrator with Paul Davis do?
The Office Administrator is responsible for the successful coordination of the job cycle, from inception to completion. The individuals in this position work closely with every division of the business and their efforts greatly impact the overall success of the organization.
1. Assist with answering incoming calls on office and mobile lines.
2. Complete intake and file creation for new losses.
3. Ensure notes are completed in operating systems for all jobs/assignments
4. Review and upload or export, when applicable, completed documents for approval and payment
5. Confirm current jobs are on schedule
6. Uses independent judgment and discretion in the issuance or rejection of purchase orders. Exercises discretion in prioritizing payables for payment.
7. Ensures the correctness of all detailed records of work in progress files for the owner/general manager and associates.
8. Plans the work priorities and assists in all administrative functions of the office.
9. Prepares checks for all vendors and tradespeople.
10. Manages and maintains all filing systems for the owner/general manager and office.
11. Maintains good customer relations to detect and resolve issues and concerns.
12. Participate in the collection process.
13. Maintain an effective compliance program. Regularly audit and review company procedures, practices, policies and documentation process
