Job Description
The Office Administrator reports to the Executive Vice President of Scanlan Foundation and offers clerical support to the day-to-day operations of the business office, working closely with the officers, board, grants department and bookkeeping.
Duties
- Process incoming and outgoing correspondence
- Facilitate executive correspondence, paperwork and meetings (in-person and virtual)
- Maintain executive calendars
- Maintain physical and digital files
- Manage and order office supplies
- Take meeting notes and memos
- Assist with accounts payable, expense reports, check requests, updating ledgers, meeting binders and mailings
- Answer incoming phone calls, email and voicemail messages
- Receive guests, including dignitaries
- Assist with operational processes and improving procedures
- Other clerical duties as may be assigned
Required Qualifications and Skills
- Knowledgeable of and supportive of the Roman Catholic Church
- Minimum 3 years of relevant work experience or equivalent
- Software fluency: Google Workspace (Required) and Microsoft Office (Word, Excel and PowerPoint required)
- Strong verbal and written communications skills
- Thorough organizational skills and ability to switch between task quickly
- Work with discretion and confidentiality
- Maintain trust, integrity and positive attitude on a daily basis
- Reliable transportation
