Nations Roof is seeking an experienced and professional Office Administrator to join our team.
This position is a hybrid role work from home/ in office role with a Monday through Friday schedule, based in the greater Dallas area.
Nations Roof is one of the largest and fastest growing commercial roofing contractors, ranked in the Top 5 Roofing Contractors in the US. Our projects range in scope from large scale new commercial construction, industrial, hospitality, distribution centers, retail centers, office buildings, multifamily and green roofs to large renovations of existing buildings.
Function:Function: Responsible for providing support for executives and account managers of the National Sales Team. Responsibilities span a range of subject matters including bookkeeping and accounting, human resources, customer relationship management, and administrative duties.
- Schedule meetings and appointments
- Scheduling travel arrangements
- Partner with HR to update and maintain office policies as necessary functions, personnel files
- Active role in screening and hiring process for multiple departments
- Assist in the onboarding process for new hires
- Scheduling and facilitating orientations
- Processing payroll and maintenance of paid time off
- Assist with report(s) preparation
- Assist with invoices, AR/AP and collections
- Assist with the maintenance of data in the Salesforce CRM system. Tasks may include getting new National Account Managers (NAM’s) set up, updating NAM assignments, preparation of various reports, and other tasks as assigned
- Maintain communication with project contact regarding scheduling and documentation requirements as needed
- Bank Reconciliation: Review the bank activity and ensure that all cash transaction entries are recorded in accounting software
- Commissions: Analysis of the prior month’s invoice activity and the calculation of commissions due on project work from the prior month.
- Assist with management of and accounting involving the company’s credit card system, currently Concur
- Complete accounting-related duties that are under the auspices of the Regional Controller and provide reports and status updates as required.
- An ability to produce a high-volume output while maintaining an attention to detail
- Additional duties related to all aspects of accounting and office management duties as directed by President
Skills/Qualifications:
- 5-8 years minimum of experience in an office administration and/or payroll (prior office management experience preferred)
- Experience processing commissions payments
- Proficient in CRM systems, Salesforce experience preferred
- Proficient in Microsoft Office Programs (Excel Word Outlook Power Point)
- Basic Accounting experience (Experience with Viewpoint, SAGE, Timberline, SAP, or similar construction platform preferred)
- Ability to give instructions and clearly explain problems or situation
- Must be Team Orientated
- Good leadership and organization skills
