Job Summary
The Office Administrator serves as the first point of contact for SoundWorks & Security clients, visitors, vendors, and employees. This individual possesses strong organizational and interpersonal skills to effectively maintain the front desk, answer phones, and keep the office neat and well-stocked.
Work Hours: 7 am - 4 pm Monday through Thursday and 7 am - 1 pm on Fridays
Salary: $20-25 per hour (DOE)

Primary Job Duties
- Serve as the first point of contact in the office by greeting and directing clients and visitors
- Create a professional, welcoming environment for staff, clients, vendors, guests, and employees
- Book/confirm all jobs
- Maintain/update job list
- Maintain the scheduled work calendar
- Create service tickets
- Keep the customer contact information in Quickbooks current
- Receive and organize the parts
- Maintain records/schedule appointments for yearly maintenance
- Answer, screen, and route incoming phone calls to appropriate team members. Takes Messages and schedules appointments
- Perform administrative and clerical support tasks
- Perform basic filing and recordkeeping
- Maintain the office so it is organized, tidy, and well-stocked
Qualifications
- Minimum of three (3) years of experience working as an Office Admin or Assistant
- Effective verbal and written communication skills
- Friendly and professional demeanor both in person and on the phone
- Excellent organizational and problem-solving skills
- Strong skills in using Microsoft Office applications (particularly Outlook, Excel, Word, PowerPoint)
- Familiarity with QuickBooks is a plus
- Be detail-oriented, accurate, organized, and proficient in professional communications
- A strong sense of discretion and confidentiality
- Excellent critical thinking and troubleshooting skills
