Job Description
SUMMARY:
The Night Manager is responsible for all custodial tasks within the assign account and is responsible to be onsite overseeing their primary account while work is being performed. The Night Manager may supervise one large account, or a large geographically separated unit. The Night Manager is responsible for training and supervision. The Night Manager may interface with the customers and tenants to ensure customer satisfaction with our work. The overall goal and first priority of The Night Manager is to become an important resource for the customer and the Company. He or she is to have the best interests of the customer in mind for all scheduling decisions. The final result required is a high-morale, people-oriented organization operating by the policies that meet or exceed customer expectations while achieving specific quality and profit objectives.
RESPONSIBILITIES:
- Ensures that the work identified in the specifications is performed properly, on time, safely and within the budget
- Schedules and coordinates custodial duties and current services
- Prepares schedule and supervises work assignments for all personnel
- Inspects work of subordinates
- Uses computer products to track work
- Conducts training for INC employees
- Maintains security of all tools, equipment, and supplies
- Administers the INC Safety Program at the accounts
- Administers INC personnel policies in accordance with INC Human Resource Policy Manual.
- Prepares required reports
- Enforces the account dress code
- Responds daily to requests from the customer
- Any other duties as assigned
- Completes all work in a professional manner commensurate with industry and safety standards
- To manage INC’s Project effectively and to develop new goals and objectives within the realm of our business
- To achieve required margin levels
- To deliver the product or service to meet or exceed our customers’ needs, expectations, and standards
- To develop personnel and strive to ensure their success
MAJOR GOALS:
SUBORDINATE GOALS AND KEY RESULTS:
1. To continue to improve customer relations, the Night Manager will be successful in this Key Results Area when:
- A contact schedule is established with major tenants/executives and the schedule is followed. (Applicable if tenant contact is encouraged)
- The customer is encouraged to contact him/her when issues arise
- Action items are acted upon, corrections/work checked, and action documented in the log and, when appropriate, verbally to the client contact
- Customer complaints and concerns are successfully resolved within the time period agreed upon
- The accounts are inspected prior to, during or subsequent to each client meeting
- All changes in account cleaning specifications or procedures are reduced to writing with copies to the Corporate Office and the client within three working days of the change
2. To develop staff and those with the potential to become Project Leads, the Night Manager will be successful in this Key Results Area when:
- Cleaning specialists have been trained on their assigned duties.
- Potential Project Leads are identified and afforded the opportunity to complete the INC Training Course.
3. To maintain operational control of the accounts, The Night Manager will be successful in this Key Results Area when:
- The accounts file is established and maintained.
- The Account Operations Manual is up-to-date.
- Project Scheduling is established and maintained.
- Cleaning supplies are identified and established as authorized for each account.
- Inventory levels are established for each account and reorder procedures are established.
- Equipment and tools are accounted for and maintained in a clean and operational manner.
- Key control procedures as established and monitored.
- Job costs are analyzed and planning is implemented to continue to maintain costs at the budgeted level.
- Inspections and walk-throughs continue to insure that tasks are being completed in a timely, competent manner using Job Status Report.
4. To develop management skills through active participation in development opportunities, the Night Manager will be successful in the Key Results Area when:
a. He/she has completed INC Supervisor course of study.
b. He/she has received the INC Supervisor Certification.
5. To improve employee job satisfaction, the Night Manager will be successful in this Key Results Area when:
- He/she properly ensures that each employee receives an accurate and timely error-free compensation on the scheduled pay date, i.e., no paper checks
- Absenteeism and turnover are minimal
- The Supervisor seeks out and compliments at least one employee for a job well done
6. To explore growth opportunities, the Supervisor will be successful in this Key Results Area when:
- Additional services (line item) or expansion of current services have been identified and suggested to the client
- During the year, new services has been added to the accounts
7. To create a safe work place, the Night Manager will be successful in this Key Results Area when:
- All subordinate Supervisors actively support the safety program and enforce the provisions.
- Safety Data Sheets (SDS )are on hand in each account and is current
- All employees receive the required training
- All employees use the required safety equipment
- Safety is a factor in considering equipment or chemical purchases
- Accidents are promptly reported and investigated in accordance with Project/District/Company policies
- Accident investigation reports include practical steps to prevent reoccurrence
8. To properly administer personnel policies, the incumbent will have been successful in the Key Results Area when:
- Employee grievances are at a minimum
- No complaints are filed with city, county, state or federal Equal Employment Opportunity Commission (EEOC) offices. (And, if complaints are filed, INC prevails in subsequent judgements)
- Discipline is timely, proper and documented in accordance with Company policy
- Interviewing and hiring is done on site
(1) I-9 forms are properly completed
(2) Police checks are properly conducted
(3) Hiring documents are completed and distributed to the Corporate Office on a timely basis
MINIMUM JOB REQUIREMENTS:
Education/Experience
Five plus years’ experience managing large janitorial and related employees in facilities between 1,000 - 100,000 square feet or more. Experience in recruiting, hiring, training, quality control management, customer relationship management, task scheduling and budget management. Proficient in MS Office programs, timekeeping software and use of other office equipment. Able to pass a State and Federal Government background check. Must have a valid driver’s license and personal vehicle for transportation. Experience in working in an entrepreneurial and rapidly growing environment.
Software Skills
At a minimum, the Night Manager must be proficient in Microsoft Office Suite.

Working Conditions:
- Night Shift (5:00 pm to 1:30 am) Monday thru Friday no weekends, no major holidays
- This position requires work outside the office environment.
- Use of a personal vehicle may be required.
- A valid driver’s license is required.
