This is an opportunity for a candidate with strong coordination skills to support Kraft Heinz’s in-house agency, The Kitchen North America. The Kitchen North America is a team of creatives, strategists, producers, designers, content creators and social media managers working directly with brands to deliver breakthrough ideas. This position is for a multifaceted and hard-working individual who functions in a proactive, thorough manner. We are looking for someone who has experience supporting multiple stakeholders and a large team in a fast-paced environment - interacting with various levels of senior leadership internally and externally, multi-tasking, and who demonstrates exceptional communication skills, planning, problem solving and organizational skills. A successful Marketing Coordinator will be proactive, positive and have incredible attention to detail and be able to roll up their sleeves for whatever is needed. They are a skilled communicator both verbally and in writing, and have excellent presentation, customer service, time management, and computer skills.
The Marketing Coordinator, The Kitchen NA is required to perform a range of duties to support the team including but not limited to:
Agency Meetings & Offsite Organization
- Create meeting agendas, coordinate staff meetings, internal and external events
- Support team cadences / meetings / notes / follow-ups
- Support hybrid team environment maintaining Distribution Lists, Organizational charts, Kitchen team email communication/updates
- Independently able to plan, organize and manage the creation and execution of offsite events and team-building gatherings.
- Offers up interesting, creative suggestions in collaboration with leads for bi-annual, offsite events (for both Toronto and Chicago offices).
New Team Member Onboarding
- Coordinate onboarding processes of new hires into the team via meeting scheduling, systems registration, building and on-site logistics, etc.
- Maintain accuracy and updates of onboarding documents and ways of working
- Provide support for new hire training and tools access
- Prepare and handle confidential and personnel information with trust, interface appropriately with internal and external clients, and senior executives
- Partner with design team to maintain up-to-date organizational charts with new and departing team members
Production Support
- Play a support role for on-site production shoots as needed
- Maintain inventory tracking of production equipment
- Manage intake, shipping and coordination of various production needs (i.e. groceries, props, etc)
- Production tool access and training (ie Frame.IO, Shutterstock, Artlist)
Cross-Functional Department Collaboration
- Play key support role to any Kitchen requests with cross-functional departments including IT, Culinary, Facilities, etc.
- Build organizational knowledge to provide quick solutions for tech, facilities, connectivity, etc. requests
- The “go-to” support role for the Kitchen team
Calendar Management
- Management of The Kitchen leaders’ calendars and scheduling for large group routines and key external partner sessions
The successful candidate will be organized, extremely detail oriented, curious, self-motivated, adaptable, ambitious, and driven, have an entrepreneurial spirit and be able to handle confidential information, as well as a demonstrated ability to respond to changing workloads and priorities. Must have the ability to communicate clearly and to handle multiple assignments and people simultaneously.
Minimum Qualifications/Requirements:
- College degree
- Display maturity and have ability to support and interact with all levels of management
- Advanced knowledge of Microsoft Office suite (Outlook, PowerPoint, Excel, Word)
- Familiar with business technology including but not limited to web conferencing, TEAMS, Zoom, eRoom, SAP, Ariba, WorkDay, etc.
- Excellent organizational, communication, social and prioritization skills
- Keen attention to detail, ability to exercise initiative, work independently and proactively follow-up
- Ability to handle workload in a fast paced and focused work environment
- Ability to anticipate needs and make decisions with minimal direction
- Task oriented and ability to drive completion of tasks within narrow timelines
- Ability to work overtime as needed
- Positive can-do attitude
- Poised under pressure and flexible to adapt in a fast-paced environment
- Trustworthy, especially with sensitive or confidential information

Office Collaboration & Hybrid Work Environment
