Spa Coordinator/Marketing Associate

Overview:

An emerging med spa in Rolling Meadows, IL, is looking for a highly organized, energetic, and customer-focused Spa Coordinator to join our team. The Spa Coordinator will serve as the heart of our spa's operations, ensuring smooth and efficient day-to-day activities while providing exceptional service to our clients. This role involves a variety of responsibilities from managing worker schedules to engaging with clients across multiple communication platforms.

Responsibilities:

• Operational Excellence: Manage the schedules for all spa workers to ensure optimal staffing levels and client service. Keep the spa environment clean and welcoming
• Client Communication & Service: Respond promptly to phone calls, social media messages, and emails. Schedule patients for their sessions and conduct follow-ups to encourage repeat visits.
• Administrative Duties: Manage the CRM system, handle documentation, and generate reports to support business decisions. Take payments for treatments and assist the spa director in various administrative tasks.
• Inventory Management: Regularly check inventory levels and order spa products and supplies as needed to ensure the spa is well-stocked and operational.
• Marketing & Engagement: Assist with Marketing initiatives to promote the spa's services and specials.

Qualifications:

• Proven experience in a coordination or administrative role, preferably in a spa, salon, or similar wellness environment.
• Strong organizational, communication, and interpersonal skills.
• Ability to manage multiple tasks and priorities in a fast-paced environment.
• Proficient in using CRM systems, social media platforms, and basic office software.
• Passion for the beauty and wellness industry, with a customer-first attitude.
• Flexible work schedule, including the ability to work evenings, weekends, and holidays as needed.
• Professional and polished appearance, with excellent verbal and written English skills.
• Proficiency in Ukrainian, Russian, or Spanishlanguages is highly preferred

Job Type: Part-time

Pay: $18.00 - $21.00 per hour

Expected hours: 20 – 30 per week
