Job Description
The Maintenance Supervisor (MS) will assist owners and General Manager (GM) by Maintaining the Common areas and by providing “In-Unit” support to individual owners. This includes managing 3rd party workers and materials and other Key Responsibilities as per below.
The MS will report to the GM, who will set goals, deliverables, and priorities. The MS will recommend preventive maintenance programs and repairs to the GM, participate in the evaluation of maintenance and repair proposals, and make recommendations to the GM based on an assessment of the scope of work, cost, and qualifications/experience of the vendors. The MS will maintain the Safety Procedures Manual and ensure those procedures are followed. The MS may participate in Architectural Reviews conducted by Committees and by others. Other tasks may be assigned by the GM.
This is a full-time position. The schedule of required onsite hours will be set by the GM. The MS will respond immediately and resolve emergency facility needs/issues regarding safety/security/business requirements, including fire alarm systems and disengage electrical, water, or gas systems to protect building occupants and property.
The Maintenance Supervisor will recommend staffing for the maintenance activities of the building; screen, interview, and recommend hiring decisions to the GM; and train, supervise, evaluate, and recommend disciplinary actions for assigned staff. Written reports, as described below, will be submitted to the GM. Various records and schedules will be maintained using “Building Link” and/or other computing applications or paper documents as defined by the GM.
Key Responsibilities:
Common Area Maintenance:
- Manage 3rd party building maintenance and safety workers.
This includes creating and maintaining ongoing schedules for all regular building maintenance, services, and inspections, including HVAC, elevators, roof inspection, plumbing waste stacks, fire suppression and alarm systems, back-up generator, water booster pump, gym equipment, internet and TV, trash chutes and compactors, trash and recycle collection, annual pool/spa opening, and closing, etc. GM will provide complete maintenance and status requirements.
Monitor 3rd parties while on site to ensure maintenance work and inspections are performed and billed correctly. Keep GM informed regarding upcoming work and status. Suggest to GM new maintenance or inspection opportunities and propose changes.
Deliverables:
- Maintenance Schedule
- Monthly status checklist of all mechanical, electrical, and other building components served by PM contracts.
2. Monitor and report to the GM the physical condition of GV.
According to a schedule set by the GM, physically inspect all building components to ensure they are in working order, safe, secure, clean, and well-maintained. Periodically inform GM of building status. This includes all residential common areas as well as all mechanical facilities and rooms. Prepare written reports on all areas.
Deliverables:
- Monthly status checklist of all Common area elements (e.g., do not have a PM contract.) For instance, AED equipment, entry doors, appliances, lighting, trash room, pool furnishings, etc.
- Weekly and bi-weekly checklists of selected common area elements.
3. Personally maintain all building features not otherwise performed. This may include repair, painting, lubrication, adjusting, etc. various building components as needed.
4. Select, purchase, and maintain Inventory records of all tools, materials, and equipment upon approval of the GM. Maintain a written inventory of all GV tools, materials and equipment. Provide a monthly report to the GM of all purchases with receipts and with explanation of use to include whether for common maintenance or individual unit support.
Deliverables:
- Inventory Records as defined by GM
- Retain and deliver all purchase receipts to the GM monthly
- Note purpose and billing information on each receipt
In-Unit Support:
The Maintenance Supervisor will evaluate Owners’ requests for in-unit support, determine whether staff or external contractors are needed to complete the work, and assign or perform the work accordingly. The MS will coordinate, supervise, and inspect completed work.
- Perform “Concierge Solutions” (CS) maintenance and repair tasks. Personally perform various “handyman” type services in for unit owners. This will include tasks such as minor plumbing repairs, hanging fixtures, changing light bulbs and CO monitors, adjusting doors, flushing water tanks, wallboard repair and painting, etc.
Deliverables:
- Set appointments with owners for CS tasks within 48 hours.
- Complete tasks by agreed date.
- When applicable, direct, monitor, and inspect work done by other employee(s).
2. Create and maintain time and materials records of all In-Unit Support tasks so that they may be tracked and billed correctly. Assist the GM and staff in creating billing documents.
Deliverable:
- Record tasks requested and completed to include date requested, date completed, hours & materials consumed, unit billed, etc. as directed by GM.
SKILL AND KNOWLEDGE REQUIREMENTS INCLUDE
- High School Diploma or GED. Bachelor's or Trade School Certification preferred.
- 2-4 years of hotel or condominium maintenance management experience.
- Strong technical knowledge/background in HVAC, Electrical, Plumbing, and Pool maintenance.
- Computer proficiency with MS Office (Excel, Word).
- Demonstrated talent for interacting with a wide variety of people.
- Ability to effectively organize and coordinate multiple priorities, work well as a team leader, and problem-solve.
- Proficient with commercial HVAC, Electrical, and/or Plumbing repair equipment and standard office equipment.
- Proficient in writing and updating various documents.
PHYSICAL AND MENTAL REQUIREMENTS
- Moving about on foot to accomplish tasks, particularly frequent movements from place to place within the unit. Bend, lift, carry, reach/extend arms and hands above shoulder height frequently, or otherwise move in a constantly changing environment.
- Lifting, carrying, and pushing up to 25 lbs. regularly, 30-35 lbs. frequently, and up to 50 lbs. occasionally.
- Ability to stand for the entire workday and to climb steps regularly.
- Withstanding temperature extremes in indoor and outdoor environments.
- Reading and writing work-related documents in English.
- Speech recognition and clarity, including the ability to understand the speech of customers and co-workers and the ability to speak clearly so that you can be understood by customers and co-workers in English.
- Constantly communicates and receives verbal communication with other employees in a fast-paced environment.
- Physical presence at the job site is essential to perform job duties.
- Valid Driver's License required.
EQUIPMENT USED
- Common manually operated hand tools and power hand tools (drill, drill/driver, power washer, etc.),
- Trash compactor and receptacles.
- Equipment required for repairing and painting walls and trim work.
