POSITION TITLE: Maintenance Manager
LOCATION: New York
FLSA STATUS: Exempt
REPORTS TO: Project and Construction Manager and VP of Operations
JOB TYPE: In-person five (5) days a week. Flexible schedule a must to support food hall operations that are 7 days a week.
SALARY RANGE: $75k-85k (Salary range is commensurate with relevant skills and experience)
EDUCATION AND EXPERIENCES
- Bachelor's degree (B. A.) in a related field from four-year college or university; or two to five years progressive experience in a maintenance related position, logistics center, warehouse, or project management role.
SUPERVISORY RESPONSIBILITIES
- Supervise and coordinate tasks for facilities personnel, along with the Project Manager
- Support Project Manager with the prioritization of tasks and deployment of resources to food halls.
PHYSICAL REQUIREMENTS
- Must be able to lift up to fifteen (15) pounds at times.
PRINCIPLE DUTIES & RESPONSIBILITIES
- Manages all maintenance related work orders in Asana. Ensures that they are completed in a timely manner and that progress is being communicated to the foodhalls.
- Ensures that recurring tasks are being scheduled and completed on time and up to standards. All tasks must be tracked in our work order system.
- Manage and update spreadsheets tracking outside service companies work.
- Track and follow up on invoices from service contractors.
- Submit expense report and debit card receipt daily to the accounting department.
- Publish a weekly schedule for all maintenance personnel.
- Ensures that all associates are in place according to their schedule. Communicates to the food hall director of operations when there is a change in the schedule, allocation or resources, or a call out.
- Prioritizes tasks each day and ensures that our ‘Must Accomplish Today' tasks are completed.
- Ensures that maintenance team members are provided with the materials and support to accomplish their tasks. Acts as the main link between food hall leadership and purchasing in all maintenance related supplies.
- Obtains a maintenance daily recap from each team member outlining the work done for the day. Review the recap for accuracy and close all work order / Asana tasks 48 hours after they are received subject to management feedback.
- Asana tasks should be created and closed for verbal requests.
- When a recap is not received, a follow-up email should be sent to the team and Management to obtain the recap. There should ALWAYS be a recap. Constant follow-up until this is complete.
- During the day all emails and Asana requests directed at maintenance will be responded to immediately.
- All phone calls to maintenance should be answered immediately
- Any issues that are delaying the completion of a project or task beyond its due date should be brought first to the Project Manager, food hall director of operations and VP of Operations,
- Conduct monthly inventory of all maintenance supplies
REQUIRED SKILLS & ABILITIES
- Ability to handle multiple tasks and prioritize workload in a deadline driven, demanding environment.
- Excellent leadership and interpersonal skills, with the ability to effectively manage a team and collaborate with stakeholders.
- Experience maintaining daily, weekly, and monthly budgets regarding labor and supplies.
- Proficiency in accounting principles and practices, with experience in reconciling invoices, receipts, and expense reports.
- Strong knowledge of building systems, including HVAC, plumbing, electrical, and mechanical systems.
- Familiarity with relevant regulations and codes, such as OSHA, NFPA, and local building codes.
- Proficient computer skills including all Microsoft Office applications and basic internet use.
- Proficiency in computerized maintenance management systems (Asana)
- Strong problem-solving skills and the ability to make sound decisions under pressure.
- Excellent communication skills, both verbal and written.
- Ability to work flexible hours and respond to emergencies outside of regular business hours, as needed.
