Job Title: Logistics Coordinator

Reports To: Director of Office Administration

FLSA Status: Non-Exempt

Hourly Wage: $23.00-$25.00 DOE

Hours: 8am-4:30pm

Start Date: TBD

MISSION STATEMENT

The mission of CCI & SIR is to offer the highest quality and professional, Partial Hospital Program (PHP), Intensive Outpatient Program (IOP), and Outpatient services. This is accomplished through the strict adherence to the highest ethical standards of care and policies and procedures set forth by the California Department of State of Health Services and the Joint Commission.

Appropriate availability of alternative treatment modalities is made at any time before during or after treatment if they are requested or the client’s needs are out of the scope of our practice.
  • CCI & SIR will ensure that discharge from treatment is conducted in accordance with California rule standards.
  • CCI & SIR provides both California and Joint Commission environment of care standards.
  • CCI & SIR will take all necessary and appropriate measures to maintain individual client records and information in a confidential and professional manner.
  • CCI & SIR strives to maintain positive relations with the surrounding community and pursues every reasonable action to encourage responsible client behaviors and community safety.

SUMMARY

The Logistics Coordinator is responsible for: the scheduling, monitoring and troubleshooting of all work-related tasks surrounding transportation. Arranges appointments, meetings, and conferences to resolve transportation problems. Coordinates with various staff, Directors, medical staff, and community resources to ensure client transportation needs is being communicated. Composes correspondence and disseminates to appropriate individuals, Answers phones, questions and requests.

Age of Patient Population Served: Adult (18 & older)

Population Served: Person’s meeting DSM5 criteria for substance use disorders with or without cooccurring psychiatric illness, and psychiatric illness with or without substance use disorders.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Schedule the pick-up and drop-off of new and discharging clients
  • Create, monitor and update the daily transportation spreadsheet
  • Assess risk associated with all aspects of transportation to ensure safe transportation of clients, staff, medication, etc.
  • Conduct vehicle inspections and communicate transportation safety issues to staff either in person, via email or telephonic
  • Schedule and monitor all fleet vehicle maintenance and service
  • Collaborate with staff at all levels of the organization to facilitate a multitude of administrative functions.
  • Supports with set up and troubleshooting of telehealth sessions
  • Stock office and cleaning supplies

MINIMUM JOB REQUIREMENTS

Education, Training, and Experience Required:

  • High school diploma or equivalent. Some college preferred; or
  • Minimum one years of Logistics Coordinator experience, including one year of experience in health care, preferred.
  • Attainment of at least 18 years of age
  • A Health Screening with negative TB Test Results
  • Current Basic Life Support Certification-First Aid/CPR
  • Valid Government ID

Required Knowledge, Skills, and Abilities:

  • Knowledge of organizational policies, procedures, and systems.
  • Knowledge of office administration duties, techniques and practices.
  • Knowledge of transportation safety guidelines
  • Knowledge of grammar, spelling, and punctuation.
  • Skill in taking and transcribing dictation and operating office equipment.
  • Skill in time management, prioritization, and multitasking.
  • Skill in problem-solving.
  • Skill in writing and communicating effectively.
  • Ability to work under pressure, communicate and present information.
  • Ability to read, interpret, and apply clinic policies and procedures.
  • Ability to identify problems, recommend solutions, organize and analyze information.
  • Ability to multi-task, establish priorities, and coordinate work activities.
  • Ability to work as part of a team.
  • Ability to competently use Microsoft Office, including Word, PowerPoint, Excel, and appropriate healthcare management software.

4. Maintains patient confidentiality always.

5. Reports to work on time and as scheduled, completes work within designated time.

6. Completes in-services and returns in a timely fashion.

7. Attends annual review and department in-services, as scheduled.

8. Attends at least 8 staff meetings annually, reads and returns all monthly staff meeting minutes.

9. Represents the organization in a positive and professional manner.

10. Actively participates in performance improvement and continuous quality improvement activities.

11. Complies with all organizational policies regarding ethical business practices.

12. Communicates the mission, ethics and goals of the program.

PHYSICAL DEMANDS/WORKING CONDITIONS:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is occasionally required to stand or sit for extended periods of time. The employee must occasionally lift and/or move up to 25 pounds. The job requires frequent contact with water (hand washing and cleaning) and working with body fluid and hazardous chemicals. When under these working conditions, OSHA standards and universal precautions must be followed always. While performing the duties of this job, the employee must be able to work in a fast-paced environment with minimal to high volumes of stress.
