Level II Legal Assistant/ Practice Billing and Team Opportunity.
A boutique, busy law firm seeks an energetic, experienced, proactive, and extremely organized office assistant.
Responsibilities include assist practice management and special projects, monitoring client email, invoicing, special projects, mail, and phone calls, assuring appropriate disposition of issues, case calendar assistance, case tracking and filing, management of case load, data input, etc.
Position requires the ability to prioritize and manage a wide variety of short and long-term projects simultaneously and to adapt to changing systems and procedures.
This person is ideally a strong communicator, tech-savvy, resourceful, solution-oriented with a strong sense of urgency and eye for detail. Duties may vary from day-to-day.
· Partner practice management assistant
· Provide invoicing and billing support
· Provide special project and invoicing support on client matters
· Assist to resolve urgent requests.
· Fielding phone calls
· Collect and process case load mail
· Assist with maintaining Outlook calendars, arranging meetings, speaking engagements and special events, and establishing priorities for appointments.
To be successful, the position should be for someone who:
- Must be able to work in a high-pressure environment
- Is trustworthy with proven ability to handle confidential and sensitive information discreetly
- Must be able to work independently or with minimal supervision
- Has proven ability to prioritize tasks associated with organization
- Has a typing speed near or above 60 WPM
- High-level proficiency with Microsoft Office suite (including Word, Excel, PowerPoint, and Outlook), Skype, scheduling systems, web-based research and maintaining calendars
- Prioritizes tasks associated with a diverse organization
- Provide written communication clearly and concisely
- Is highly organized and be able to manage multiple tasks at one time
- Ability to communicate and direct work to others at the request of the managing partner or manager
- Desire to grow into responsibility with internal options for paralegal training, case load manager, executive assistant, real estate, law and business certifications
Qualifications
Strong time management and prioritization skills.
Ability to work on a team as well as independently.
Strong project management skills; proactive problem solving and resourcefulness.
Required Education
Minimum: Associate of Arts degree from an accredited college or university and five (5) years of professional office environment experience; prior law firm or medical office experience preferred and encouraged
Candidates with a minimum of 3 - 5 years of related experience encouraged to apply and will be considered.
Must be able to pass a background check, have a clean driving record, and verifiable references.
Desired
- Associate of Arts degree from an accredited college or university and four (4) years of professional office environment experience
- Degree in Business, Marketing. Paralegal certificate or a similar field preferred.
- Client-service experience (internal or external)
- Ability to work on multiple projects and tasks simultaneously, tolerate ambiguity; work well with others and resolve problems in a timely and professional manner.
- Ability to maintain neutrality and calm demeanor in emotional situations, ability to communicate and negotiate with tact and persuasion when interacting with employees and clients at all management and leadership levels
