Hinman, Howard & Kattell, LLP is seeking a Legal Assistant/Receptionist for our White Plains, NY branch office. The ideal candidate will have 2 to 3 years of law office experience.
Duties include but are not limited to:
- Prepare and edit legal documents and correspondence including letters, memos, pleadings from typed, handwritten and dictated material.
- E-file pleadings and other legal documents with various courts.
- Maintain physical and electronic legal files including general organization, index pleadings, and organize depositions and exhibits.
- Maintain and track schedules, deadlines and calendars.
- Schedule meetings and conferences.
- Manage travel arrangements and submit expense reports.
- Enter, edit and/or finalize billable time, send out invoices/reminder statements and follow up with clients regarding outstanding A/R.
- Respond to inquiries and requests for information under attorney direction.
- Answering/transferring phone calls in a polished and professional manner.
- Handling receptionist tasks - greeting guests, keeping shared space orderly and sanitized, etc.
- Administrative tasks - sorting and distributing mail and packages, filing, scanning, faxing, organizing documents, stocking break room and office supplies.
- Coordinating tasks with paralegals and attorneys including time entry, preparing engagement letters, conflict searches, opening new files.
- Provide other support as necessary.
Requirements
- Willing to commit to a full-time position (M-F 8:30am - 5:00pm).
- Must be confident and able to communicate with all levels of management, staff, clients and guests.
- Must be able to multi-task! This is a fast-paced environment which means your workday will go by fast, however, you must be able to juggle multiple tasks at a time.
- Must be a team-player but able to work independently on assigned tasks/cases.
- Strong word processing skills including Microsoft Word and Excel.
- Experience in county, state and federal court proceedings.
- Ability to work independently and collaboratively with other team members.
- Ability to handle and adjust effectively to competing deadlines and priorities.
- Excellent organizational and communication skills.
- High level of professionalism.
- Ability to work overtime as necessary.
Job Type: Full-time
Pay: $20.00 - $30.00 per hour
Expected hours: 37.5 per week
