JOB TITLE: Assistant Property Manager

SCOPE AND PURPOSE:
The Assistant Property Manager is responsible for assisting the property manager in all aspects regarding the department’s scattered site including but not limited to, leasing, maintenance, financial and management. The Assistant Manager should be able to take over in the absence of the property manager.
DUTIES AND RESPONSIBILITIES:
1. Prepare and sign all leases and provide orientation and move in paperwork for new residents.
2. Take rental applications, verify information, run credit reports and qualify renters in the absence of the Leasing Agent. Give to Property Manager to approve or deny.
3. Collect rents, work with delinquent tenants and keep Property Manager updated. Check delinquencies and update the Delinquency report and send to the appropriate people on the 5thof each month. Send out 10 day notices and small balance letters. Speak with Property Manager regarding delinquencies on the 18thand 21stof each month. Prepare any tenant for eviction.
4. Enter all scattered site Skyline data entry. Including but not limited to: move ins, and set up all rent charge for ongoing tenants.
5. Update all renter’s insurance in Skyline. Send out notices to tenants who have failed to provide Declarations. Run monthly report for renter’s insurance.
6. Send out paperwork to new residents regarding move in paperwork, move in inspection form and smoke detector form not returned timely. Keep on this process until everything is returned.
7.. Cover property management department when Property Manager is out of the office. Give out rental information, make appointments for showing and take work orders.
8. Make sure utilities are turned on and off to coincide with tenant move ins and move outs.
9. Renew all leases-at anniversary date. Determine new rental amount for renewal with input on rental pricing from Property Manager. Obtain Owner’s permission to renew well in advance of renewal anniversary.
10. Process all leasing and management fees due Pfister from Owner accounts immediately after event.
11. Immediately invoice residents for any charges they must reimburse owner for.
12. Attend training programs on Fair Housing, Apartment Association or other related seminars as required.
13. Perform other duties as assigned by Property Manager
14. Send make ready work orders once a move out inspection has been completed. Check for final Sewer bill.
15. Run monthly sewer requests for each property. Send notices to each tenant regarding delinquent sewer bills. Check delinquent sewer bills on the 26thof each month.
16. Make sure the occupancy report is up to date.
17. Send work orders as needed with approval.
18. Complete the report each Monday and send the appropriate persons.

QUALIFICATIONS
1. Minimum of high school education with additional college degree or career-oriented education.
2. Ability to work with all ethnic and social backgrounds of people.
3. Pleasing personality and ability to work with and understand people and the public.
4. Knowledge of Microsoft Word and Excel. Ability to learn property management software.
5. Valid driver’s license, own reliable transportation and proof of liability insurance.
6. Team player capabilities.
