SUMMARY
Housing for Health (HFH) is a program office within Health Services Administration, a division under the Los Angeles County Department of Health Services (DHS). HFH was created and put into implementation in support of the Los Angeles County Homeless Initiative recommendations in response to and in support of the County’s effort to address and combat homelessness in the communities residing within the boundaries of the County’s eight Service Planning Areas (SPA’s).
The County-wide Benefits Entitlement Services Team (CBEST) is a program under DHS’ HFH and provides targeted benefit advocacy services to assist individuals, who are homeless or at risk of being homeless (e.g., individuals, families, children, Veterans, etc.) who have complex health and /or behavior health conditions, and high utilizers of public services in obtaining sustainable income through government programs such as Supplemental Security Income (SSI), or Social Security Disability Insurance (SSDI), Cash Assistance Program for Immigrants (CAPI), and/or Veteran Disability benefits. CBEST’s Administration Team is responsible for all contract management, contract compliance, finance/invoicing, budget and operational functions of the CBEST program.
POSITION OVERVIEW
The Intermediate Typist Clerk position (also referred to as “position”) will be responsible for providing skilled typing, word processing, data entry, etc. as well as specialized clerical work to an array of CBEST work force members within CBEST’s Administrative Team. The position will work directly with HFH/CBEST work force members to fulfill an array of clerical and/or administrative tasks. The position will report to a section supervisor, section head, and/or director as applicable.
The position may require travel to various locations within Los Angeles County to attend and/or participate in various meetings with HFH personnel and/or HFH community/contracted agencies and/or attend/participate at off-site HFH related meetings, conferences, etc. as applicable. Functions of the position include, but are not limited to the following:
ESSENTIAL FUNCTIONS
- Frequent and heavy use of an array of Microsoft Office Suite software programs such as Word, Excel, PowerPoint, Access, Adobe Reader, One Note, Outlook, Publisher, Skype, Teams, etc.; development of an array of MS Word and Excel documents and spreadsheets; performs data entry and management tasks; schedule meetings, conferences, and/or monitoring appointments; attends meetings as needed, takes notes, prepares meeting minutes, action items; prepares photocopies, issues meeting materials, agendas, handouts, training materials, presentations, etc. as applicable.
- Acts as intermediary between HFH personnel and HFH line staff; transmits, verbal and written messages, orders, and requests; prepares and distributes internal and external notices, bulletins, letters, and memoranda as applicable.
- Gathers data for general information purposes or special reports, contacts other internal and external entities, personnel, etc. for additional material.
- Provides data entry/input, compilation, retrieval, and maintenance for various spreadsheet trackers, databases, program spreadsheets, etc.; prepares and/or assists in the preparation of various reports, spreadsheets, documents, literature, material, forms, etc.
- May search records, files, databases in which a required and/or sampling of information, data, etc. is needed in selecting or abstracting material, documents, client information, etc.; may assist in the collection, analyzation, and or interpretation of data as needed.
- Onboards new staff with pre-employment hiring requirements and processes.
- Adheres to federal, state, county, and city policies and guidelines and complies with accomplishing any assigned tasks on the job accordingly.

Desirable Job Qualifications

- Experience in developing MS Excel spreadsheets, creating, and using complex formulas and functionalities.
- Experience in developing MS Word documents that require specialized functions, e.g., automatic table of contents, headers, footers, images, tables, fillable functions/forms, etc
- Experience in developing MS PowerPoint presentations that include specialized functions such as audio, video, graphics, charts, tables, etc.
- Experience understanding, interpreting, and working with contract documents, budgets, scopes of work, etc.
- Experience in developing fillable PDF documents, combining different documents (e.g., MS Word, Excel, etc.) into a single PDF document, etc.
EDUCATION/EXPERIENCE
One year’s office clerical experience involving typewriting -OR- A certificate or Associate of Arts degree in clerical procedures or office administration from an accredited college. Typewriting skill: Ability to type at the rate of 40 net words per minute.
Certificates/Licenses/Clearances
- A valid California Class C Driver License or the ability to utilize an alternative method of transportation when needed to carry out job-related functions.
- Successful clearance of a live scan process with the County of Los Angeles.
Other Skills, Knowledge, and Abilities
- Highly proficient skill set in using an array of Microsoft Office Suite software programs such as Word, Excel, PowerPoint, Adobe Reader, Teams, One Note, Outlook, Publisher, etc. as well as Adobe Pro.
