Position Summary:
The Intake Specialist is the point of contact for Meals on Wheels recipients with the primary responsibility of assisting service recipients through excellent customer service on incoming and outbound calls. The Intake Specialist provides a range of administrative office support functions and works in a team environment.
Essential Responsibilities:
- Conducts incoming and outbound calls in a professional manner and answers program questions communicating with caregivers and recipients.
- Assists in implementing meal service for new clients and preparing daily delivery schedules.
- Correctly documents all client interactions in the appropriate database.
- Adhere to grant requirements and program policies and procedures.
- Completes a variety of data entry tasks in multiple databases such as registering clients, recording meal deliveries, and entering client status notes.
- Supports the delivery department through daily communications with the delivery team and service recipients.
- Ensure accurate meal delivery is recorded on route sheets and entered in the database.
- Create and maintain files of service recipients.
- Receives and processes new referrals to the Meals on Wheels program through phone, fax, and email.
- Schedule clients for assessments and recertification assessments.
- Prepare correspondence to communicate with individuals who cannot be contacted by phone.
- Protect all confidential information, company property and electronic data. Comply with safety rules.
- Other related duties as directed.
Knowledge, Skills and Abilities:
- Possess excellent oral and written communication skills.
- Sound judgment to ability to work autonomously.
- Prioritize work and meet necessary deadlines.
- Proficiency in computers and software including Microsoft Office.
Qualifications:
- High school diploma or GED required.
- Two years of experience working in a busy, multi-focused office environment.
- Experience working with senior population is highly preferred.
- Bi-lingual (English & Spanish)
Physical Requirements
- Primarily works in office environment, but may also work throughout the agency and off site.
- Ability to communicate with service recipients, volunteers, and co-workers, particularly by telephone. Must be able to talk on the telephone for extended periods.
- Ability to operate and use office equipment, especially computer, keyboard and mouse.
- Ability to continuously sit and/or stand.
- May occasionally lift up to 15 pounds.
This position pays $17.00 per hour.
