Position Summary
The purpose of the Intake & Resource Coordinator is to work with the women’s ministry department to help implement a safe, and healing environment for women in a Christian environment. Primary duties include administration, leadership, and spiritual responsibilities, have professional conduct and provide good customer service. Communicate clearly and effectively with the staff about the guests’ issues and needs to the Case Managers. The Intake & Resource Coordinator must have strong leadership skills, sense of discernment in assessing situations based on verbal and non-verbal cues, and ability to adapt to working with those from all socio-economic and ethnic backgrounds. They must have good verbal and written communication skills. Areas of responsibilities include:
Effectively and quickly handle conflicts with staff or clients.
Provide residential intake process and procedures for new clients including but not limited to conducting intake interviews, collecting all necessary information needed for guest placement.
Review shelter guidelines and daily living activities with new clients.
Handle situations during your shift, as they arrive, with confidentiality, grace and with wisdom. Handle each guest’s requests quickly and timely.
Communicate clearly with all staff at the Kokomo Rescue Mission.
Maintain facility security and regularly inspect all residential living areas.
Maintain proper documentation (including use of Mission Tracker) of guests’ behavior when guidelines are not followed or there is poor program participation, using the grace-based program.
Become familiar with local resources and refer guests appropriately.
Be available for weekend shifts when scheduled.
Call your supervisor when unsure of how to handle conflicting situations.
Qualifications and Skills
Employees of the Mission must be born again believers in Jesus Christ and active members of a recognized evangelical Christian church. They must believe and agree to adhere to the Kokomo Rescue Mission’s Doctrinal statements and have a genuine concern for the salvation of souls for all of the mission’s clients. Must have strong leadership skills, sense of discernment in assessing situations based on verbal and non-verbal cues, and ability to adapt to working with those from all socio-economic and ethnic backgrounds. Must have good verbal and written communication skills. Must have a High School diploma or GED. Preferred Bachelor's Degree.
Responsibilities and Duties
- Areas of responsibilities include: Administrative, Leadership, Spiritual, Emotional, Relational, Vocational, Educational, Intellectual, Financial, and Physical.
- Reports regularly to the Manager of Watered Garden.
- Maintains facility security and regularly inspects all residential living areas.
- Will perform residential intakes process. Provide residential files updated in a timely manner.
- With excellence, works efficiently with all staff and board members.
- Coordinates and fulfills all assigned case managements responsibilities, providing encouragement, counsel and accountability to each one.
- To empower women to prepare for stable self-sufficiency.
- Give updates to staff about the activities/actions for your shift.
- Schedule, talk and train volunteers coming to Watered Garden.
Administration:
Check your e-mail at least once every business day. Communication with the Main Building and other staff is essential.
Maintain a tidy and organized work area.
Effectively handle routine administrative tasks.
Quickly respond to your director’s request for information or action.
Effectively handle correspondence timely and organized.
Update Mission Tracker regularly.
Spiritual:
Be a Godly example for the women showing them Christ’s love.
Have a strong love for the Lord and for people.
Maintain a daily relationship with God.
Continue to develop your spiritual life through prayer, Bible study, and Church involvement.
Encourage guests toward a personal relationship with Jesus Christ.
Be actively involved in a local church.

Professional Conduct:
Take personal responsibility for your own health and spiritual balance. You need to maintain an outside support system, as it is professionally inappropriate to use the guests for personal emotional, physical, or spiritual support to avoid interpersonal relationships with the guests.
Avoid discriminating between guests or fellow professionals on the basis of race, creed, age, sex or disability.
Avoid showing favoritism to any guest.
Refrain from accepting favors from guests.
Protect the confidentiality of all records, material and knowledge regarding the guests.
Secure file cabinets containing guest information and network computers while not in use.
Hold staff discussions concerning guests in a private area. Deal with all guest conflict in office area, unless it is necessary to deal with it in front of community.
Out of respect for our guests, let the guest initiate a greeting with you outside of Watered Garden, to avoid identifying them as guests of the shelter.
Work with other agencies in a professional manner.

Position Summary:
The Intake Coordinator is responsible for answering and directing calls to the appropriate staff member, while maintaining a courteous and professional demeanor. This position will also be responsible for answering general questions and providing assistance to the client as needed. The position will be responsible for assisting clients with accessing services, completing intake paperwork, scheduling, and other duties as assigned.
Essential Duties:
- Answer incoming calls and direct to appropriate staff member
- Greet and assist clients in a courteous manner
- Complete intake paperwork and submit to the clinical team for processing
- Collect client contact information (phone & email) and enter in the EMR system
- Update intake forms with new information as requested by the clinical team
- Update client scheduling calendar
- Scan documents into scanner
- Maintain a clean work environment
- Other duties as assigned
Experience: Minimum of one year experience in a receptionist or call center environment preferred. Experience with EMR systems preferred. Must have excellent customer service skills, strong phone skills, ability to multi-task, ability to work independently, detail oriented, ability to work in a fast paced environment, ability to work well under pressure, ability to communicate effectively with all levels of staff and clients. Bilingual preferred but not required.
