UW Medicine Enterprise Records and Health Information has an outstanding opportunity for an INFORMATION GOVERNANCE COMPLIANCE ANALYST .
WORK SCHEDULE

100% Remote POSITION HIGHLIGHTS
Responsible for establishing governance over records and information in all formats and leads and develops governance over records and information in systems and applications
Supports the department in writing and updating records series, as well as researches and coordinates with stakeholders on creating records series to keep the retention schedule in compliance
Researches both the state and federal level statutes, regulations and rules relating to the creation and management of information and data owned and used by UW Medicine DEPARTMENT DESCRIPTION Records and Information Governance (RIG) is a UW Medicine department in ERHI. As required by RCW 40.14, RIG is responsible for managing records in all formats that are created and received by UW Medicine in compliance with laws and regulations relating to the preservation and destruction of public records. As per this law and the State Record Committee, RIG is the authorized legal authority that manages the Retention Schedules and determines the legal retention period for records and information in all formats, helping the enterprise remain compliant records retention requirements. RIG also performs a wide variety of information management functions to help the enterprise manage electronic records and information in accordance with best practices, while also ensuring the integrity of electronic records and information. PRIMARY JOB RESPONSBILITIES
Acts as subject matter expert in developing governance over records and information in systems and applications, including OnBase and Epic, in accordance with the UW Medicine Records Retention Schedule and in collaboration with departments, stakeholders, and clients across the enterprise;
Supports the department in writing and updating records series, as well as researches and coordinates with stakeholders on creating records series;
Acts as subject matter expert in managing structured, unstructured, and semi-structured records and information for the duration of the legal retention period
Ensures compliance with WAC 434-662 for electronic records and information, which are to be managed in accordance with the legal retention schedules and are bound by the same provisions as paper documents
Acts as subject matter expert and leader in helping departments with projects relating to records and information located in third-party storage facilities with the goal of creating cost savings, mitigating risk, and increasing compliance with existing laws and regulations for the enterprise. The projects could include organizing the transfer of records to Records and Information Governance for storage for the legal retention period;
Acts as subject matter expert in SharePoint site admin work on all SharePoint platforms utilized by UW Medicine to facilitate compliance with legal retention guidelines and to ensure compliance with regulations such as HIPAA;
Acts as subject matter expert in information management across electronic platforms, including Epic, to facilitate ensure metadata is standardized.
Provides information management guidance on of unstructured data (including shared drives and email) and semi-structured data in all SharePoint or O365 platforms to facilitate compliance with legal retention periods;
Ensures that patient records and information are managed for the legal retention period and remain accessible, usable, searchable, and authentic for the duration of their lifecycle; to perform this task, the analyst collaborates with departments, stakeholders, and clients across the enterprise who have expertise in the EHR;
Collaborates with internal team members on management of patient records in all formats to ensure records are managed in consistent manner regardless of format.
Develops and organizes trainings, including eLearnings and workshops, related to records and INFORMATION GOVERNANCE to educate clients on ways to remain compliant with laws, rules, and regulations from a retention and information management standpoint;
Develops resources to assist with training and outreach across the enterprise;
Performs remote consultations as needed. REQUIRED POSITION QUALIFICATIONS
Bachelor degree in Information Science, Archives, HIstory, Engineering, HIM, Finance, Law, or any other related degree or equivalent experience may qualify as a substitute for bachelor degree requirement
Minimum of two-years experience.
Direct experience performing retention analysis and information management of records and information
Knowledge of records and information management (RIM) best practices.
Experience performing retention analysis on patient records.
