Vito's Pizza is a small business in Fort Mill, SC serving delicious NY Style Pizza and other classic favorites. We operate our carry-out shop open Thursday-Saturday evenings as well as a Food Truck for catering events. We distinguish ourselves with our pride in fresh, quality ingredients and excellent customer service that keeps our customers coming back for their next slice!
We are looking for a Part-Time partial Remote Administrative Assistant to help with our business and support our owners. This person must have excellent customer service skills as you will be the main point of contact for all email inquiries and some phone inquiries. Other duties include, but are not limited to:
- Inbox management: Responsible for all email correspondence including customer emails, catering requests, and more.
- Calendar management: Responsible for booking catering events, special events, meetings, etc while cognizant of our storefront’s hours of operation and owners’ schedules.
- Catering Coordination: Provides initial quote to customer, guides customer in menu selection, writes formal estimate and contract to finalize booking. Liaises event details to the catering team. Collects payments for events. Accuracy and attention to detail is essential.
- Marketing: Planning and managing monthly marketing initiatives including social media and email marketing (which may include light graphic design utilizing Canva). Create/design posts and stories for Facebook and Instagram, respond to comments/messages/DM’s. Maintain website with up to date information.
- Maintain point of sale platforms: Update Square and DoorDash platforms with new menu items, monthly promotions, etc.
- Recruiting and onboarding: Posting available positions as needed, pre-screening applicants including initial phone interviews and reference checks. Schedule interviews with management. Provide all onboarding documents to new hires.
- Light bookkeeping: Prior experience in this area is highly desirable.
- Submit and pay sales taxes on a monthly basis.
- Build relationships with clients to maintain a sense of familiarity and trust in providing a quality experience.
The ideal candidate is passionate about small business and is a self-starter who sees a need and fills it. This person is honest above all, has integrity, professionalism, and excellent communication skills. Experience in a remote work environment is a plus - excellent computer skills are required. You Must be able to manage your time effectively, meeting shifting priorities and making deadlines. Some project coordination is required for longer term goals or planning purposes. Having a work history in hospitality, business and/or marketing is highly desirable.
Experience in the following applications and programs is a plus (but can be trained):
- Quickbooks
- Canva
- Meta Business Suite
- G Suite (especially Google Drive, Calendar, and Docs)
- Square for Restaurants
- DoorDash Merchant Portal
- Slack
This person will work directly with the business owners. This position has a flexible schedule, as long as the majority of the work is completed during business hours to match our clients’ needs. Some weekend or evening work may be required if something time sensitive arises. Phone availability during business hours is required for certain tasks, but is flexible to your schedule. Must be located near Fort Mill, SC (our storefront is located near Carowinds) as some in person meetings may occur.
