Human Resources Coordinator
Job Description
As a part of a diverse community of faculty and staff who represent many faith systems and worldviews, Marian University seeks a full-time Human Resources Coordinator to promote our Catholic Franciscan mission and identity through management of the day-to-day operations with a focus on accuracy, urgency, compliance, and accountability. The HR coordinator's responsibilities range from administrative support to assistance with budget tracking, employee recognition and customer service.
Essential Duties and Responsibilities:
- Actively engages the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values, honoring the legacy of the founding congregation, promoting unity in diversity, and integrating the Catholic Franciscan Intellectual traditions in courses, programs, and services.
- Provides administrative support to the HR Staff.
- Provides administrative support to the Sr. VP of Finance.
- Monitors front desk and interacts with customers with dignity, respect, and kindness.
- Partners with Talent Acquisition as needed, including sourcing, coordination of interviews, pre-employment screenings, and new hire orientation.
- Responsible for maintaining employee-related data within the HRIS system.
- Creates and/or reconciles invoices and payments to submit to finance, tracks HR's budget.
- Orders office supplies for the HR department.
- Monitor and maintain Faculty and Staff Louge supplies.
- Assists with updating University Organization Chart.
- Maintains physical and electronic personnel files and other related documentation.
- Responds to employee inquiries in a timely manner; manages HR email.
- Assists with responsibilities related to the student employment process.
- Responsible for the E-verification process
- Timely organization of harassment and Title IX training for faculty and staff.
- Manages the employee recognition program, specifically employee anniversaries.
- Assists the HR staff with daily HR functions, including preparation and collection of performance reviews, employee engagement, university communication, and general support.
- Completes employment verification requests.
- Works on special projects as assigned.
- Handles the key request process.
- Ensures compliance with university policies and procedures.
- Understands basic payroll processes and systems.
- Stays abreast of current employment laws and regulations.
- Additional responsibilities, projects, duties as assigned.
Required Qualifications
Required Qualifications:
- Knowledge of and a commitment to the mission of Marian University
- Minimum of 1-2 years' experience in Human Resources, preferably in Higher Education.
- Ability to maintain confidentiality and demonstrate unquestionable ethics and trust.
- General knowledge of employment laws and practices
- Excellent computer skills in a Microsoft Windows environment.
- Effective oral and written communication
- Excellent interpersonal and coaching skills
- Excellent organizational skills with the ability to manage multiple priorities.
- Strong proofreading, attention to detail, and follow-through skills are essential.
- Highly motivated, self-directed work ethic
- Ability to identify and problem solve in an effective manner.
- Ability to establish and maintain effective relationships with employees and leadership.
