The Human Resources Assistant is responsible for various administrative tasks in the Human Resources Department and time keeping payroll services and works under the direct supervision of the Vice President of Human Resources. Serves as liaison with Payroll and other Departments relative to the payroll; and with all Personnel within the Cabrini organization pertaining to general human resource related activities.
DUTIES AND RESPONSIBILITIES
- Assists in organizing Human Resource Office operations and maintaining efficient office systems.
- Maintains daily information relating to payroll – for example updating each employee’s time card, editing as necessary and prepares payroll for designated departments on the agency time and attendance software program to ensure employees in designated departments receive accurate paychecks each pay period.
- Inputs/prints all information related to Human Resources and Payroll as necessary.
- Communicates and coordinates with the Vice President of Human Resources and Department Heads on matters relating to payroll as necessary and/or when instructed.
- Responds to telephone calls and inquiries related to Human Resources and Payroll.
- Prepares departmental reports, including statistical reports, audits, and lists for submission to Vice President of Human Resources and/or Administration.
- Updates and maintains all necessary forms relating to Human Resources and Payroll.
- Distributes paychecks and keep appropriate records.
- Works closely with Department Heads/Managers in maintaining weekly staff reports on sick calls, leave of absences, vacation and presents report as indicated or warranted.
- Prepares for Vice President of Human Resources signature appropriate memos, letters, and other correspondence.
- Prepares reports, makes recommendations for new and more efficient system, of handling clerical duties relating to Human Resources/Payroll function.
- Assists with special projects for the Vice President of Human Resources.
- Performs other clearly unrelated tasks as requested or assigned.

QUALIFICATIONS
EDUCATION
Bachelor Degree, Preferably in Human Resources or Accounting
EXPERIENCE
- Minimum of 1 year previous Human Resources experience
- Minimum 2 years of previous office, clerical and payroll experience.
- Previous experience with payroll/timekeeping software is preferred.
- Computer skills to include Word, Excel, etc.
SPECIAL SKILLS
- Able to use Copier and Fax machines.
- Demonstrable skills with Microsoft Office, including Publisher, Access, Excel, Outlook, Word
- HRIS and Time and Attendance Program skills
- Knowledge of FLSA and other payroll related regulations
- Exceptional computation and analysis skills
- Skilled in organizing data.
- Ability to work independently.
- Skilled in Time Management.
- Excellent oral and written communication
- Demonstrable and exceptional interpersonal skills
- Ability to use sound judgement in an impartial, consistent manner
