Job Description
Essential Functions/Duties:
- Provides administrative support to the HR team, including, answering and fielding phone calls, greets employees and visitors, coordinates appointments and meetings, receives deliveries, sorts and distributes incoming/outgoing mail, and maintains and orders office supplies.
- Assists the HR team with the daily administration of HR services, including safety, benefit administration and employee relations. Contributes to the development of programs, procedures, and guidelines that help align the workforce with the strategic goals of the company.
- Participates in the development of HR department goals, objectives, and systems. Provides feedback and recommendations to Human Resources Director for HR strategic planning.
- Answers frequently asked questions, relating to policy, procedure, and practice implementation, from managers and employees; refers more complex questions to appropriate senior-level HR staff or management.
- Maintains HR personnel and training records, updates AS400 system, ensuring data integrity.
- Maintains and processes HR invoices, receipts, forms, benefit payments, and other department documents. Supports record management function including maintenance, retention, transfer, and disposition of personnel records, and files. 7. Administers and updates company communications-
- Facilitates orientation for new employees by providing information packets, reviewing company policies, gathering withholding and other payroll information, explaining benefit programs, and obtaining signatures for documents.

- Assists Human Resources Manager with internal job posting process, including, posting vacancies and processing job transfers.
- Manages employee ID Badge system. Processes new employee setup, accessibility, and badge distribution. Issues replacement badges for existing employees, as needed.
- Monitors call off-line for hourly employees. Communicates employee absences to Human Resources and departmental managers.
- Administers the Perfect Attendance Program. Coordinates communication efforts and arranges extra day off with pay.
- Supports HR team with health and welfare benefit administration, including Open Enrollment initiatives, preparing benefit enrollment packets and processes paid insurance premium by employees on leave of absence and/or layoff. Responds to routine benefit inquires.
- Assists Human Resources Manager with Leave of Absence Administration.
- Assists Human Resources Director with the Worker’s Compensation Program, including processing claims, file maintenance, weekly reporting, and updating the OSHA-300A Log.
- Supports Safety and Security by maintaining and logging completed training certifications dates in AS400 system.
- Prepares and delivers reports pertaining to employee personnel information and data to Human Resources Director / team. (head count, FMLA, etc…)
- Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
- Organizes company sponsored employee events, including, service awards, event logistics, communication, and ordering supplies, including food and beverage.
- Exercises discretion and confidentiality in providing guidance, communication, and support on company and/or personnel related issues.
- Supports business operations on three (3) shifts; required to work a varied schedule, as needed, to fulfill the objectives of the position and perform the essential duties and responsibilities.

Job Qualification Requirements:
- High School diploma or equivalent. Experience:
- 2+ experience as an Administrative Assistant, preferably in a HR department.
- Experience working in a mid-size or larger non-union manufacturing environment, preferred.
- Ability to work a varied schedule to be available for employees on off-shift.
- Proficient in Microsoft applications (Word, Excel, Outlook, etc.)
- Knowledge of human resource discipline. Knowledge/Skills:
- This position requires basic knowledge of all local, state, and federal regulations pertaining to employment law. Excellent interpersonal skills and the ability to effectively interact with hourly employees as well as members of supervision and management.
- Ability to prioritize and manage workflow, projects, and staffing requirements. Strong organizational, planning, problem solving, and analytical skills.
- Excellent written and verbal communication skills with basic computer skills and applications. Strong business acumen.
