Job description

As a Human Resources Assistant at Mercury Clinical Research, you will play a vital role in supporting HR initiatives, our team and contributing to the overall success of MCR. The HR Assistant responsibilities will encompass various HR functions, ensuring the efficient execution of administrative tasks and the seamless operation of HR processes that contribute to the well-being of our employees and the accomplishment of our MCR’s objectives.

Responsibilities:

  • Collaborate in the recruitment process, encompassing tasks such as job posting, resume screening, conducting interviews, and facilitating background checks.
  • Efficiently orchestrate an encompassing onboarding process for newly recruited staff, overseeing the coordination of orientation sessions, thorough processing of new hire documentation, and ensure a seamless integration into the organizational fabric.
  • Conduct orientation sessions for new hires, providing them with essential information about the company's culture, policies, procedures, and expectations. This includes introductions to key team members and an overview of the organization's goals and objectives.
  • Coordinate with Manager(s) and Supervisor(s) on 30-60-90 day planning for new hires.
  • Coordinate with Manager(s) and Supervisor(s) on scheduling for Employee Evaluation(s).
  • Ensure compliance with HR policies and procedures.
  • Maintain employee handbooks and communicate policy updates to employees.
  • Exhibit a thorough approach in upholding precise and current employee records, encompassing essential details such as personal information, employment contracts, performance evaluations, and attendance records, with a steadfast commitment to data accuracy and integrity.
  • Assist and educate employees about the 401(k) plan, its benefits, and the enrollment process.
  • Coordinate with insurance providers and other benefit vendors.
  • Efficiently orchestrate the role adjustment process for staff who have switched roles within the company; Collaborate with Manager(s) and Supervisor(s) on role clarity and expectation, facilitate needed training, and coordinate with the team accordingly to ensure seamless integration to new roles for staff.
  • Facilitate the off-boarding process for departing employees, conducting exit interviews, ensuring proper documentation, collecting any company-owned equipment, keys, access cards, or other assets issued to the employee during their tenure, ensures proper procedures are followed.
  • Facilitate the transfer of knowledge and responsibilities to other team members or successors to ensure a smooth transition for departing employees, revoking accesses and company systems/ accounts, handling necessary paperwork such as termination letters, non-disclosure agreements, and other legal documents.
  • Ensures that the departing employee receives their final paycheck.
  • Assist in the dissemination of HR-related information and updates to employees and management. This could include preparing HR-related communications, memos, and announcements.
  • Exemplify instrumental support in optimizing the performance management process through active involvement in goal setting, vigilant monitoring of performance evaluations, and proficiently orchestrating training and development initiatives to foster continuous growth and improvement.
  • Demonstrate resolute commitment to adhering to labor laws, regulations, and company policies, while diligently staying abreast of any modifications in employment legislation to always ensure full compliance.
  • Assist in organizing training programs, coordinate employee development initiatives, and maintain training records.
  • Engage in the proactive resolution of employee inquiries and concerns, meticulously conduct comprehensive investigations into employee complaints, and adeptly offer support and guidance in resolving conflicts within the organizational context.
  • Participate in HR projects and initiatives, such as employee engagement programs, diversity and inclusion initiatives, and process improvement projects.
  • Participate in the collaborative process of designing engaging and team-building activities for the company.
  • Participate in the collaborative process of celebrating company occasions and holiday(s) activities.
  • Facilitate the daily timekeeping and attendance tracking of all employees.
  • Rectify or amend errors on QuickBooks timesheets.
  • Thoroughly validate and rectify all timesheets to ensure they are accurate and prepared for payroll processing.
  • Answer phones and provide front desk support, directing calls, greeting visitors, and ensuring a professional and welcoming environment in the office.
  • Conduct site visits to ascertain and enhance employee productivity, seamless operations, and equitable treatment of personnel by both providers and office staff, with a primary focus on fostering employee satisfaction.
  • Assist in the sponsorship process for Foreign MD’s.
  • Organize and facilitate celebrations for employee birthdays and work anniversaries to foster a positive and appreciative work culture.
  • Administer and analyze monthly questionnaires to gather employee feedback and insights, facilitating data-driven decision-making and collaborate with Manager(s) and Supervisor(s) on improvement initiatives.
  • Collaborate with Manager(s) and Supervisor(s) on initiatives to improve employee retention, fostering a positive work environment and addressing employee concerns to enhance job satisfaction and loyalty.
  • Communicates with the employee(s) in a professional and respectful manner, providing a gentle reminder of the relevant company policy and offering guidance to ensure compliance.

Education and Experience:

  • Bachelor's degree in Human Resources, Business Administration, or a related field (or equivalent experience).
  • Minimum of one (1) year experience in Human Resource role.

Physical and/or Environmental Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to meet physical demands, including standing, walking, bending, lifting, and transporting.
  • Must exhibit good judgment, patience, and maintain a professional demeanor.
  • Must be able to lift up to 15 pounds at times.

Job Type: Full-time

Pay: $17.00 - $20.00 per hour
