The HR Generalist is responsible for completing a variety of tasks to support the daily operations of the Human Resources team. This position will be hands on with daily tactical functions, best practices, and processes within Human Resources. The HR Generalist will work collaboratively with the HR Manager and HR Team, ensuring compliance with regulatory requirements. This position provides generalist expertise, advice, and counsel in areas including recruiting, onboarding, compliance and HRIS.
Supervisory Responsibilities:
May oversee the scheduling, assignments, and daily workflow of subordinate staff in the department. May assist with constructive and timely performance evaluations.
PRINCIPLE FUNCTIONS includes the following, other duties may be assigned:
Recruitment:
- Assists Sr. Recruiter with job postings, data tracking and providing process assistance and advice to hiring managers.
- Coordinates onboarding of contract employees/students - Maintains folders, tracks required documentation such as licensure and accurately enters information into the HRIS system.
Onboarding:
- Manages and facilitates all phases of new employee orientation. Ensures WhidbeyHealth's expected culture is kept real and alive for all employees and providers.
- Prepares New Employee Orientation packets and ensures information is up-to-date and complete.
- Maintains and adjusts the orientation schedule. Collaborates with presenters to create presentations that reflect WhidbeyHealth's culture, provides coaching as needed.
Compliance:
- Develop, implement, and maintain effective compliance with all federal and state labor laws related to employee file compliance.
- Conducts regular audits of HR files, records, and processes to verify compliance with legal requirements and organizational policies and standards.
- Serves as the primary point of contact for internal and external audits and investigations related to HR compliance.
- Supervises HR document destruction, ensuring compliance with records retention requirements.
- Monitor employment law postings at all WhidbeyHealth locations to ensure compliance with all state and federal requirements.
HRIS:
- Administers the creation of all PAR forms for all employee rate or status changes including FTE changes step wage adjustments, and terminations.
- Processes employee terminations internally including proper notification, timely accurate documentation and archiving files / documents.
- Inputs pay increases for employees in alignment with the terms and conditions of applicable collective bargaining agreements and/or organization policy. Prepares and files personnel file documentation.
- Maintains the PAR Log and communicates retroactive adjustments to Payroll.
- Processes and inputs miscellaneous PARs related to job status changes, address/name changes, and terminations.
General Office:
- Acts as safety representative for the department. Attends and participates in Environment of Care meetings/activities.
Please note: This position requires before and/or after-hours work to accommodate facilitation of new hire orientation 4 - 6 times per month.

- Checks hospital email and vmail accounts daily and strives for responses within 24 hours.
- Utilizes AIDET in all interactions with patients, employees and visitors.
- Completes all mandatory education within given timeframe.
- Adheres to all hospital, department, and safety policies, procedures and guidelines at all times.

JOB KNOWLEDGE & QUALIFICATIONS
Education
Associates degree in human resources, business administration, psychology, or a related field preferred or equivalent combination of education, training, and experience.
Training and Experience
- Minimum of three (3) years' HR administration experience.
- Experience in Healthcare setting preferred.
- Self-directed and self-motivated in job-related tasks.
- Experience working with HRIS software applications and/or other products, or the ability to quickly
- learn the organization's HRIS system.
- Ability to maintain privileged and confidential information.
- Excellent time management and problem-solving skills. Ability to organize and prioritize work to meet relevant deadlines.
- Excellent customer service and team orientation.
