Job Description
Primary Purpose: The Human Resources Generalist coordinates and performs the Houston SPCA's human resource functions while serving as the organization's representative. This position is integral to our organization's mission and our HR Department's successful efforts, including recruiting, employee training, administration, payroll coordination, and employee support.
This position Reports to the Director of Human Resources
Essential Functions of the Position:
- Manage recruiting process, including coordinating postings/advertisements, reviewing applications, conducting initial interviews (virtually or in-person), and forwarding selected candidates to the Hiring Managers.
- Complete background checks for potential new employees and complete other necessary paperwork/tasks.
- Coordinate and conduct new employee orientations, including leading training sessions.
- Assist employees with their benefits selections, including explaining benefits and policies to employees and assisting with forms, especially during Benefits Open Enrollment. Accurately transmit selected benefits to insurance/benefits companies.
- Responsible for managing and accurately maintaining our HR systems, including our cloud-based Paychex system. This includes researching our systems to ensure we utilize them fully. Ensure employee data is input wholly and correctly, auditing as necessary. Manage employee files of required documentation.
- Interface with Accounting for accurate and timely processing of bi-weekly payroll.
- Coordinate issuance and tracking of employee equipment (computers, phones, keys, security badges, etc.). Direct IT response for employee changes. Manage/coordinate employee access over our various information system software and applications.
- Manage our cell phone account. Coordinate with IT for equipment management.
- Coordinate with IT for selected areas related to employees and the office.
- Manage employee uniforms, including ordering and maintaining inventory plus issuances to staff.
- Assist in our Worker Safety program.
- Be a continuing resource to staff regarding policies, procedures, benefits, and related topics.
- Participate in/lead various employee engagement and appreciation activities, including monthly staff meetings, luncheons, rewards programs, and other events. Perform various communications with staff.
- Coordinate aspects of the study rotations of the Texas A&M University veterinarian students (dorm assignments and resource assistance).
- Support various office management tasks, including conference room reservations.
- Coordinate and track employee performance review process.
- Protect all confidential information related to employees, clients, donors, animals, adoption families, and other parties. Protect confidential information regarding internal policies and procedures.
- Serve as a role model for coworkers. Promote collaborative relationships among staff.
- Represent the Houston SPCA by providing excellent customer service and focusing on employees and external individuals/groups.
- Perform additional tasks as assigned.
