Job Summary

Human Resources Coordinator SUMMARY: The HR Coordinator is responsible for all new hire orientation and regular maintenance of the company personnel files and records, with emphasis on HRIS / HCM database. This incumbent will also participate in the new hire onboarding with other department such as Safety, HSET to ensure new hires are thoroughly on boarded before arriving to the job-site or work place. Will provide intermediate HR services in areas of employee or supervisory inquiries in new hire process, recruitment, performance management, policy, benefits, compensation, HR compliance, where necessary. Must be knowledgeable in the company policy and procedure while informing employees on proper protocol and processes.


Roles & Responsibilities

  • Responsible for pre-employment process such as screening applicants, participating in interviews, conducting reference checks.
  • Assist as needed, in posting jobs and identifying candidate pool for recruitment purposes in support to the Hiring managers.
  • Ability to schedule interviews and participate in the interviewing process in support to the Hiring managers selections for job opportunity with emphasis in accordance with and promoting UIC employment preference policy.
  • Responsible for processing and continual maintenance of employee status changes (promotion, new hires, terminations, address/personal changes, department changes, transfers, etc.) in a timely and accurate fashion.
  • Participates on a regular basis, aspects of new hire orientation, presentation and scheduling with HSET for team oriented new hire orientation, prior to working in field(s) or job-site.
  • Acts as the lead HRIS / HCM super user for the company. Will train and coach new user as applicable.
  • Liaison with other HRIS / HCM users and the HRIS Manager on employee system record issues.
  • Assists in that appropriate HRIS / HCM controls are in place over period from new hire to termination of employment for compliance purposes, including timely Benefit plan enrollments to COBRA administration.
  • Responsible for administering unemployment requests, verifications of employment, etc. Available to work with HSET in regards to worker’s compensation issue as they arise.
  • Assisting the HR Director or HR Supervisor with employee relations issues, such as harassment allegations, work complaints, or other employee concerns as required. Ability to interpret and explain EEO regulations as they apply in the workplace.
  • Actively provide the HR department intermediate support during HR annual auditing projects, such as Benefits or EEO/VETS/AAP reporting, and other projects as they arise. Will mentor, learn and apply intermediate HR capabilities with other HR Managers in functional HR services within the company.
  • Other duties as assigned by the HR Director or HR Supervisor.

  • Knowledge and Critical Skills/Expertise:

    Required Experience

    • Associates Degree or equivalent. Must have 2-3 years of related experience with at least 2 years in a human resource department.
    • Demonstrated experience with HRIS/HCM systems. Must be able to train new users with transference of technical skills and capabilities to function and operate accurately and routinely.

     

    • Must have a demonstrated hands-on approach and success in working in a team-based environment.

     

    • This position is responsible for observing and applying policies, procedures and safeguards to protect the privacy of health information in compliance with the HIPAA Privacy (Privacy Rule).

     

    • Six years of administrative experience that results in demonstrable expertise in comprehensive office administration and executive assistance.

     

    • At least two years of experience providing direct administrative support to a senior executive, preferably the President/CEO or comparable position.

     

    • Supervisory and experience working within an Alaska Native Corporation is preferred.

     

    EDUCATION and EXPERIENCE:

    • Associates Degree or equivalent.
    • Must have 2-3 years of related experience with at least 2 years in a human resource department.
    • Demonstrated experience with HRIS/HCM systems.
    • Must be able to train new users with transference of technical skills and capabilities to function and operate accurately and routinely.
    • Must have a demonstrated hands-on approach and success in working in a team-based environment.
