Job Summary:
The Program Manager is responsible for the general oversight and supervision for all clinical programs operated by UCL, Inc. The Program Manager will work in concert with the President/ CEO to ensure compliance with internal policies and external regulations.
Reporting Relationship:
The Program Manager reports to the company President.
The Program Director will comply with all policies and procedures of UCL, Inc. and will perform the following essential duties and responsibilities:
Staff and Resident Supervision:
Meet with all residents twice a month addressing their issues, concerns, success, positive behaviors and create action plans for the next month on these findings (share with Resident’s support team)
Meet with the management team twice a month to provide any important information about residents and be open to input and ideas about action plans.
Fill out all resident renewal paper work and schedule annual meetings/ assessments
Create all resident files and update as needed per policies and regulations
Produce monthly and annual reports for each resident
Oversee and provide recommendations regarding hiring of new employees
Interview and provide recommendations regarding all intake and admission processes of new residents.
Insure that all staff comply with internal policies, and external licensing requirements. Provide for additional training as necessary. Work closely with house lead/ HHA to maintain a pool of the highest quality staff, who actively support the mission of UCL, Inc. To purge employees who, despite best efforts, disregard coaching and opportunities to improve their performance.
Attend staff meetings at individual program sites, as necessary.
Develop and facilitate a regularly scheduled management meeting, consisting of the Program Manager, Residential Coordinator and other appropriate upper level program management staff, designed to ensure consistency of programming, and to continually improve the quality of program services. Schedule other meetings (as needed, and regularly scheduled) with subordinates as necessary to ensure the highest quality of services.
Ensure appropriate handling of any employee claims of company wrong-doing. Immediately inform company President of any and all potential employee related liabilities or risks.
Participate, as necessary, in all employee court proceedings, including unemployment hearings and employee suits against the company.
Ensure that all employee interactions are appropriate, which includes not stating anything that could be perceived as discriminatory or harassing. All employee interactions (written or verbal) will be within the framework of the law and the policies and procedures of UCL, Inc. Ensure that all levels of program management are aware of these requirements and receive training on how to interact with employees appropriately.
The Program Manager is a representative of UCL, Inc. and will positively present and portray the company in all instances and situations. The Program Manager will present positively to all internal employees and external organizations and agencies, and will present as fully and enthusiastically supportive of the policies of the company and decisions of the company President. Any disagreements with the company President, or the policies of UCL, Inc., will be addressed in private with the company President. The Program Manager will not inform or discuss with any individuals within or outside of the company, that dissention or disagreement exists within the management of the company.
Health and Safety:
Ensure that all fire drills and weather are completed according to internal standards.
Ensure that client hygiene is attended to, and that all clients are looking their very best, not only at IDT meetings, but also day to day.
Customer Service and Clinical:
Respond to client behavior, legal, or medical crisis and insure that the correct and appropriate response has been initiated. Inform company President of any significant client related crisis, including but not limited to: police/legal involvement, hospitalizations, serious medical issue, case manager, guardian or other IDT member complaint.
Be available to staff for telephone consultation.
Ensure that the program activity schedule, including all appointments and activities, are being completed consistently and accurately.
Provide consultation to program staff regarding client issues and recommend clinical interventions.
Review and edit all incident reports and EUCP reports, and disseminate to IDTs, as necessary. Will ensure that any document that goes to IDTs is grammatically correct and professionally written IRs, EUCPs, outcome reporting, RMPs, etc.) Examine and evaluate all incident reports to determine how to minimize incident recurrence, and then take action on implementing those recommendations. This may include providing individualized training to staff on how to better avoid a behavioral incident, providing a group training to staff if changing or reinforcing a client intervention, issuing a staff performance warning, following up with IDT members, to help mitigate a client crisis, call an IDT meeting, if necessary, etc.
Make every effort to ensure that every interaction with our customers and stakeholders (case managers, guardians, probation officers, clients, other providers, etc.) results in positive feelings about the company. The DO should present confidently and cordially in every interaction, and should go to great lengths to ensure that the good reputation of the company is upheld and that customers and stakeholders feel good about their experience with Yassin Homes, Inc.
Interface with other disciplines, with the goal of coordinating the best care plan for the client.
Vigilantly uphold and enforce the supervision and security policies of the company, and recommend revisions to the policy
Review client Risk Management Plans, in order to ensure licensing compliance and to minimize company liability.
Will dress professionally for meetings and for other contact with customers and stakeholders, and will assure that management staff do the same
Will oversee and ensure licensing compliance, at all times. Will also correct any licensing citations quickly.
Will diligently mitigate risk to the company, and will take immediate measures to minimize those identified risks.
Will ensure that the physical plant at each program is kept in good repair and that each home is kept clean and that the grounds are maintained at or above neighborhood standards. Oversee spot checks of sites and grounds, and correct issues, as needed. Hold staff accountable through verbal and written warnings.
Make recommendations to the company President on how to improve client services and employee management.
Other Job Related Requirements:
Must be willing to flex work schedule to accommodate the needs of the company. Must be willing to submit to a DHS background study.
