- Must be at least 18 years of age
- Must be a high school graduate
- Must have typing and organization skills
- Must be able to meet the public
- Must have knowledge of office equipment and supplies
- Must have sincere desire to work with residents, staff, visitors, and family members
- Must be able to intermittently stand, walk and sit 6-8 hours in an 8-hour day
- Must be able to occasionally bend, squat and twist body
- Must be able to lift a maximum of 20# with frequent lifting and/or carrying of objects up to 10#
Responsibilities:
- Maintain work area in a clean and orderly manner
- Answer all telephone calls coming into the facility. Direct them to the proper department or take messages as appropriate
- Maintain copy machine.
- Complete general typing duties as assigned
- Stamp outgoing mail as necessary
- Inform social services director or activity director when flowers are delivered. If unavailable, handle distribution personally.
- Work with employment applications, instructing them on proper procedure for filling out applications. Contact appropriate department supervisor for interviews.
- Order Office Supplies
- Assist/Direct new residents when they arrive
- Daily functions of resident trust
- Assist with new hire orientation
- Ensure new resident names are put outside their door
- Monthly all staff OIG/SAMS checks
- Employee name tags, anniversaries, reviews
- Assist with tours of facility
- List for beautician
- Assist HR (Human Resources) with tasks
- Ensure visitors screen in when they arrive
- Keep track of department supervisors reported schedules for efficiency in handling incoming calls
- Notify nurses station, medical records, and social services when a new resident arrives at the facility
- Greet all salespeople and locate appropriate department supervisor for them
- Welcome all visitors, applicants, salespeople, etc. Remember that they get their first impression of the facility from you – be sure it is a positive first impression.
- Always keep an updated room location listing in order to properly direct visitors to resident's rooms
- Direct all resident's family members, employees with specific questions or concerns to the appropriate department supervisor. NEVER give out information regarding residents or employees, either to visitors or callers
- Always be aware that the receptionist area is accessible to everyone, and it must be maintained professionally at all times
- Use paging system professionally at all times in locating individuals or making necessary announcements. Remember that your voice is heard by everyone present in the facility.
- All other duties assigned by the office manager or administrator.
