Job description

FULL TIME OFFICE ASSISTANT:

This position will primarily focus on daily organization, keeping track of scheduling, and dealing with correspondence and phone calls on behalf of the executive director. This role will work on a variety of tasks related to business and personal matters. In this role, the employee must have the ability to adapt quickly, working in various environments throughout the day. Must be able to multitask in a busy office environment, navigate personal tasks and execute tasks in a timely manner. Duties include exceptional detail skills, running errands, and other administrative duties. This full-time position requires working for 40 hours per week. Candidate will be working in our Arcadia office from 9am – 6pm, Monday -Friday.

REQUIREMENTS:

  • Must be eligible to Work in the U.S.
  • Fluent in English and Mandarin/Cantonese
  • Must have a valid State Issued Driver's License
  • Reliable vehicle and good driving record
  • Effective communication/Strong interpersonal skills
  • Reliable, organized, friendly and approachable
  • Ability to multitask and prioritize daily workload
  • Proficient in Microsoft office and other Internet Searches

JOB DUTIES, include but not limited to:

  • Managing and organizing meetings and appointments
  • Plan travel, including flights, accommodation and ground transportation
  • Implementing and maintaining procedures/administrative systems
  • Acting as a liaison with staff, suppliers, vendors, and clients
  • Collating and filing expenses
  • Deposit checks as needed
  • Coordinate events and engagements with vendors and teams in Asia
  • Draft correspondence such as emails and letters
  • Run miscellaneous errands as directed: post office, storage unit, UPS/Fede/DHL/USPS, etc.
  • Purchasing, and making returns and exchanges at various stores
  • Preparing administrative and confidential documents
  • Ordering office supplies; cleaning and organizing office space

Monthly pay: $3,000-$3,250 **Salary & Benefits Negotiable**
