Front Office Support Staff - Outpatient – Youngstown, OH
Salary: $14.00 - $15.00 per hour based on previous experience. Comprehensive Benefits Package for Full Time.
Shifts: Monday – Friday, Dayshift, includes 1-2 nights later nights per week
Responsibilities:
- Serves as the introductory face of COMPASS at the front desk.
- Must be client focused and centered.
- Welcomes and checks in clients for scheduled appointments and facility guests.
- Confirms ID and updates insurances at each client appointment; as well as any other pertinent information such addresses and phone numbers.
- Obtains OARRS reports for dissemination to prescribers.
- Verifies MITS weekly for incoming clients and reports anomalies to Intake Specialist.
- Collects client payments and issues receipts.
- Responds to records requests through Clinician Supervisors for approval.
- Receives and distributes faxes.
- Scans in documentation given by staff.
- Assists in ICR reviews.
- Engages new clients in filling out customer satisfaction surveys per Office Manager Instruction.
- Schedules client follow up appointments as directed by staff.
- Conducts reminder calls to clients for upcoming appointments.
- Coordinates with Office Manager on client no shows for follow-up and rescheduling.
- Creates No-show List each week for Office Manager to review.
- Provides information regarding all COMPASS programming to clients and visitors.
- Back up for incoming mail sort, date stamp and distribution to correct department.
- Ensure 100% schedule density, with no gaps in schedules of BHC and CNP
- Minimum of 95% accuracy rate for complete and up to date client records and data entry (including intake paperwork, contact information, insurance information, etc)
Qualifications:
- High School Diploma or GED.
- Two years of experience in administrative/secretarial duties is preferred.
- Must be familiar with MS Outlook/Word/Excel and possess the ability to perform typing and data entry tasks with speed and accuracy. Requires strong computer literacy: generating cover sheets, drafting professional letters, creating spreadsheets, using Microsoft Word and Excel.
- Must have experience with multiple phone lines, standard office equipment, filing and customer service.
- Experience with electronic medical record systems is required.

Miscellaneous requirements: Criminal background check; Pre-employment drug screen; Clear driving record; TB test and First Aid/CPR. Strong social, communication and written skills. Strong organizational skills and abilities. Ability to multi-task; while maintaining accuracy and organization integrity. Must have the ability to develop rapport and be perceived by staff and clients as approachable. Ability to collaborate with staff, service providers and administrators. Team oriented with patience and compassion for those served.
