We are seeking a friendly, organized, and customer-oriented Front Desk Receptionist to join our team at our bustling Medical Spa and Wellness center. The ideal candidate will serve as the first point of contact for our clients, providing exceptional customer service while managing administrative tasks to ensure smooth operations. Responsibilities:
1. Greet clients warmly and assist them with check-in and check-out procedures in a professional and courteous manner.
2. Answer phone calls, respond to inquiries, and schedule appointments accurately and efficiently using our electronic booking system.
3. Maintain a clean, organized, and welcoming reception area, ensuring it reflects the high standards of our facility.
4. Verify client information, update records as needed, and collect payments for services rendered in accordance with established protocols.
5. Provide information to clients about our services, pricing, and special promotions, and address any questions or concerns they may have.
6. Coordinate with other staff members to ensure seamless communication and workflow between the front desk, clinical, and administrative teams.
7. Manage incoming and outgoing mail, email correspondence, and other administrative tasks as assigned.
8. Assist with inventory management, including monitoring stock levels of office supplies and retail products, and placing orders as needed.
9. Adhere to HIPAA regulations and maintain confidentiality of client information at all times.
10. Uphold company policies and procedures, including compliance with safety and sanitation standards, to ensure the well-being of clients and staff.
Qualifications:
1. High school diploma or equivalent; additional education or certification in hospitality, business administration, or a related field is a plus.
2. Previous experience in a customer service or receptionist role, preferably in a medical spa, wellness center, or hospitality setting.
3. Strong interpersonal and communication skills, with the ability to interact professionally with clients, colleagues, and vendors.
4. Excellent organizational skills and attention to detail, with the ability to multitask and prioritize responsibilities in a fast-paced environment.
5. Proficiency in using computer software and electronic scheduling systems; experience with Spa or Medical Spa software is advantageous.
6. Positive attitude, team-oriented mindset, and willingness to collaborate with others to achieve common goals.
7. Flexibility to work evenings, weekends, and holidays as needed to accommodate client appointments and operational requirements.
8. Knowledge of basic medical terminology and procedures is desirable but not required.
