List of Responsibilities/Duties
- Answer phones and schedule appointments to maximize patient flow.
- Responds to email and text message inquiries
- Meet or exceed patients' expectations while maintaining cheerful disposition
- Collect payment, issue and redeem rewards points, discuss payment options
- Maintaining patient records including ensuring all consent forms are filled out, patient before and after photos.
- Discuss treatments and services offered, and able to discuss with patients
- Is familiar with and implements daily office opening and closing tasks
- Maintains a neat and clean reception area, patient lounge, and waters are fully stocked in lounge fridge.
- Registers patients by gathering information, referral info and CC payment info when booking appointments.
- Monitors retail (skincare) inventory and sales.
- Maintains a neat and well-groomed appearance and pleasant, excellent customer service mindset with patients and referral sources
- Handles inquiries about payment methods accepted, office hours, services, location, and consultation fees.
- Verifies upcoming appointments
- Handles telephone receptionist responsibilities
- Assists staff and Dr as needed.
- Greets patients promptly and professionally
- Responds easily to routine requests for information
- Maintains patient confidentiality at all times and communicates with owners regarding procedural changes and concerns.
- Participates in professional development efforts to remain current on procedures, retail skincare, payment and services
- Cooperates and communicates with all staff members and Dr about patient matters.
- Participates in social media posting on the practice accounts, monitors and responds to patient inquiries over social media.
- Assist with preparation of treatment rooms throughout the day. Making sure SMA is set up for each client.
Minimum Demonstrated Skills
- Requires accuracy, thoroughness and an understanding of payment collecting, copy and referral procedures.
- Requires ability to work as a team member.
- Requires skills in operating computers, word processing software, scanner and copier machines
- Work is fast paced and multitasked
- Must be able to stand, reach, and bend repeatedly during the day
- Must be able to communicate professionally and effectively both in-person and on the telephone
- Must be able to accurately process and enter data into the appropriate computer software
QUALIFICATIONS
- 1 year of medical office front desk experience (preferred)
- High school diploma
- Proper spelling and mathematic skills are must
- Strong computer background
