SUMMARY
The Front Office Assistant works at Bridge to Home’s Client Services Center serving as the first over-the-phone or in-person contact for homeless clients and patrons. This person engages with all persons visiting or calling the office, which can be unpredictable, at times, and directing them to the appropriate staff member. This person oversees the Client Services Center, its functions, donations, and its facilities.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Answer main office phone line; direct calls to appropriate staff
- Greet and engage with agency clients and other agency visitors such as donors and social services providers
- Provide information, referrals and assistance to clients seeking assistance
- Coordinate client services with case management team
- Regularly update Front Office logs, HMIS Clarity data base with basic information
- Schedule and maintain executive staff calendars, office and conference rooms calendars
- Providing tools to overcome barriers—bus passes or process laundry fees and clothing vouchers
- Post, collect and organize client and office mail
- Maintain clean, neat, organized and orderly office environment; collect, sort, and organizations donations and deliveries
- Participate in staff development/in-service trainings; coordinate, train, and schedule Office Assistant volunteers
- Assist with coordination of volunteers and/or meals as needed
- Other duties as assigned

QUALIFICATIONS

EDUCATION and/or EXPERIENCE
· Two years of receptionist experience: preferred
· Demonstrated proficiency in Microsoft Word and Excel: required
· Excellent interpersonal, written, and verbal communication skills: required
· Proficient with standard office equipment: preferred
· High School degree: required
· Valid Driver’s License, with no major driving violations and infractions: required
· Possess a strong commitment to the mission, philosophy, and values of BTH, as well as a passion in ending homelessness
· High comfort level working in a diverse environment and working with vulnerable populations: required

Ability to read, analyze, and interpret general procedures or regulations
Ability to effectively communicate both orally and in writing to clients, supervisors, and external collaborating agency staff
Ability to respond to common inquiries or complaints from clients, supervisor, and external collaborating agency staff

REASONING ABILITY
