Job description

Job Summary:
Corporate Health Resources, a WorkCare Company, is seeking an entry-level Front Desk Administrative Assistant to work onsite at its Rockville, MD headquarters.
Responsibilities:
Daily Tasks:
  • Answer multiple phone lines and route operator calls to appropriate parties.
  • Mail
    • Stamp outgoing mail by 11am daily.
    • Assist with postage/certified mail packages.
    • Handle USPS postage balance and log receipts in Excel spreadsheet.
    • Sort incoming mail:
      • Date stamp invoices and distribute accordingly (i.e. AP, Managers, etc.)
      • Scan inbound medical records into quarterly folders.
      • Assist with returned mail/incorrect addresses.
    • Sort incoming UPS/FedEx packages and scan originals to quarterly folder.
  • Fax distribution:
    • Look up patient names in the database.
    • Save all results to quarterly folders.
    • Distribute tests in question/test not performed to appropriate party.
  • Labs:
    • Download all lab results from web portals.
    • Save to quarterly folders.
  • Assist with supply orders sent to the supplies inbox.
  • Assist with processing record returns to clients.
Other Tasks:
  • Cross train with all Administrative Assistants for appropriate coverage.
  • Assist with shipping packages as needed.
  • Scan mail regarding clinic updates/notices as needed.
  • Chest Xray Films/CDs
  • Assist with other Lab downloads
  • Perform additional duties and assume additional responsibilities as identified by manager for the efficient operation of WorkCare and CHR.
Qualifications:
  • Education and Experience
    • High school diploma or general education degree (GED) is required.
    • Previous phone or customer service experience is required.
  • Skills and Competencies
    • Strong verbal, written and interpersonal communication skills.
    • Must be able to demonstrate the ability of maintaining privacy and confidentiality.
    • Strong critical thinking skills; problem solving, and decision making.
    • Must have the ability to gather data, compile information and prepare reports.
    • Ability to manage multiple priorities, with attention to detail and accuracy.
    • Ability to create and edit written materials.
    • Ability to communicate effectively to a variety of audiences.
    • Skill in organizing resources and establishing priorities.
    • Demonstrate cooperative behavior with colleagues, supervisors and clients.
    • Strong time management, organizational, and follow-through skills.
    • Ability to meet and exceed daily and weekly individual performance goals.
    • Ability to work independently as well as assisting other team members when needed.
    • Requires regular and predictable attendance and punctuality.
  • Computer Skills
    • Must be competent in the Windows operating system environment, Adobe Professional, Microsoft Office Suite (Outlook, Word, Excel and PowerPoint) and learn other software as needed.
  • Physical Demands
    • Requires sitting for long periods of time, working at a desk.
    • Some bending and stretching could be required.
    • Working under stress and use of computer/phone required.
    • Manual dexterity required for use of computer keyboard.
    • Occasionally may be required to stand, walk, stoop, kneel and/or crouch.
    • Must be able to lift and/or move up to 15 pounds.
  • Work Environment
    • Mainly indoor, office environment conditions.
    • The noise level is usually moderate.
    • Air quality is good and temperature is controlled.
Additional Job Information: This is a full-time, onsite position located in Rockville, MD. Remote work is not offered for this role. The work schedule is Monday-Friday 8:30am-5:00m EST. The salary for this entry-level position is $16-$17.00 per hour. Compensation offered to the final candidate within this range depends on factors such as job-related knowledge, skills, experience, and qualifications.
