General Summary:
The Fleet Manager oversees the repair and maintenance of all company vehicles and assist in the implementing and requiring compliance with policies, procedures, and budgets. The Fleet Manager is responsible for leading the efforts for improving the fleet performance for the company.
Primary Responsibilities and Duties:
- Oversee all tractor and trailer maintenance and repairs for company vehicles.
- Develop and execute a 3 and 5 year fleet replacement plan with a rolling budget.
- Manage best replacement practices and recommendations for company vehicles.
- Understand and ensure compliance with manufacturer warranty and policy procedures.
- Coordinate needed equipment repairs and maintenance between shops.
- Create an inspection plan for driver supervisor to complete and report on for all locations.
- Ensuring accurate documentation and maintenance tracking. Fleetio experience a plus.
- Utilize software to create and review work orders, verify repairs, plan mechanic workflow, approve time records, set preventative maintenance schedules based on OEM recommendations, monitor GPS units, and record and reconcile fuel purchases/usage.
- Identify third party vendors to support in truck devices.
- Negotiate repair costs and approve repair expenses up to an authorized limit; secure rental vehicles when required.
- Align repair costs with potential warranty coverage; communicate additional warranty needs to management.
- Follow up on completed maintenance and repairs to ensure all service issues are resolved, vendor invoices are received, and repair/inspection documentation is obtained and filed.
- Guarantees that company vehicles adhere to industry standards and regulations for emissions, usage, and operation.
- Conduct regular inspections of truck shop, including working with the leadership to develop their improvement action plan.
- Maintain fleet records associated to exact locations and update as transfers happen.
- Collaborates with various areas of maintenance operations and planning to understand issues related to fleet budgets.
- Assist in equipment purchase requirements/CAPEX requirements.
- Review regular and preventive maintenance records of each sites assigned vehicles and equipment.
- Maintains files of warranties, records, licenses, inspections, service agreements, and contracts for various vehicles and pieces of equipment.
- Sign off on vehicle inspections to comply with DOT regulations.
- Coordinate service calls for truck repairs performed on the road 24 hrs. a day 7 days a week.
- Prepare month end maintenance and repair cost reports. Monitor and review parts and equipment expense.
- Negotiate and outsource repair work not normally performed in the truck shop to include body work, painting major repair, etc.
- Timely communications with Operations personnel and assist them as required.
- Maintains a working GPS unit for each vehicle.
- Identifies and reports any driver performance issues to Driver Supervisors.
- Responsible for the completion of any special projects or the assignment of other duties as requested by the Director of Logistics.
Position Requirements:
- Minimum 5 years supervisory experience of a large fleet for 100+ vehicles or more.
- Extensive knowledge of preventative maintenance repair, procedures, and schedules to include gasoline and diesel trucks.
- Solid understanding of the fundamentals of vehicle lifecycle management; vehicle types and their intended uses; and state motor vehicle regulations and laws for all states with company vehicles.
- Extensive knowledge of FMCSA and DOT regulations and procedures.
- Familiarity with diagnostic tools and equipment.
- Some travel required.

Working Conditions:
The work of this position is performed in both an office environment and a diverse working environment. This position requires the ability to work under pressure and communicate with a diverse population including other employees, customers, vendors, etc. This position also requires the ability to push, pull, and lift up to 50lbs. Frequent bending, stooping, and climbing may also be required. In this position, the employee may be exposed to hazardous materials, vapors, fumes, and extreme weather conditions. Proper PPE is provided for employee working in these conditions. In addition, this position may also require prolonged periods of sitting in a regular seated position as well as the use of general office equipment including phones, printers, computers, (mouse, keyboard etc.)
