The Fleet Coordinator is responsible for overseeing the day-to-day operations and maintenance of all fleet vehicles and associated equipment while ensuring compliance with company policies and State regulations.
RESPONSIBILITIES:
- Ensures proper safety policies and procedures are in place and followed, including monitoring MVR records for fleet drivers.
- Perform MVR records search using the approved background program.
- Ensures department compliance with safety and environmental regulations.
- Monitors expenditures; prepares and maintains various records and files; prepares reports.
- Maintain comprehensive understanding of all DOT/DMV regulations effecting JP Thomas and vehicle operations.
- Review fuel and maintenance transactions to ensure compliance with company policy and identify emerging trends and corrective actions.
- Conduct vehicle inspections alongside field managers.
- Maintain primary responsibility for scheduling and final assessment of vehicle condition.
- Process, monitor, and communicate as appropriate registration/ titling issues with fleet team members.
- Identify deficiencies in tools and equipment.
- Facilitate vehicle maintenance.
- Handle internal vehicle transfers among employees.
- Monitor and report on vehicles through the telematics system.
- Administer and communicate data in the company vehicle database.
- Monitor fuel consumption via the online portal system.
- Ensure company vehicle policy compliance.
- Review all equipment, repair, and maintenance documentation.
- Assist with fleet toll/parking/moving violations as needed.
- Maintain responsibility for physical GPS install/ swap.
- Other duties as required or assigned.
MINIMUM QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
- Passion for white-glove customer service
- HS Diploma- Associate’s Degree preferred
- At least 1 year of experience in a fleet program with at least 200 vehicles or related experience in an administrative support role
- Experience in a service provider company a plus
- Advanced computer literacy required with strong proficiency in Excel
- Strong internal and external customer service-oriented
