Job Title: Financial and Executive Assistant
Location: Columbia, SC (onsite)
Compensation: Depending on experience (target $50K annually) plus full benefits
Job Summary:
The Financial and Executive Assistant will play a crucial role in providing comprehensive support to the executive team and providing support for the financial activities of a growing nonprofit. This position requires a high level of organizational skills, attention to detail, strong time management skills, and an understanding of basic financial activities. The Financial and Executive Assistant will be responsible for, but not limited to, AP/AR, member renewals, calendaring for three executives, and coordinating meetings, travel, and events.
Essential Functions:
Executive Support:
- Provide administrative support to the executive team/C-suite, including scheduling meetings, managing calendars, and handling correspondence.
- Coordinate travel and accommodations for executives.
- Prepare and organize materials for meetings, presentations, and conferences, including Board meetings.
- Act as a liaison between the executive team and internal/external stakeholders.
Financial Support:
- Assist and be accountable for timely and accurate accounts payable and receivable.
- Assist CFO/COO with budget preparation and financial planning.
- Prepare and facilitate other financial activities as needed or requested by the executive team.
Communication:
- Communicate effectively with staff and members; facilitate and oversee the annual membership renewal process.
- Draft and proofread emails, reports, presentations, and other documents on behalf of the executives.
- Issue quarterly member certificates.
- Provide support, as needed, for volunteer coordination and member engagement activities.
Perform other duties as assigned.
Qualifications:
- At least two years of executive support or related administrative support experience.
- Proven AR/AP support and/or management experience.
- Understanding of basic financial principles and practices.
- Excellent organizational, time management, and multitasking abilities.
- Calendaring experience is a must!
- Proficient in using financial software and Microsoft Office Suite.
- Exceptional written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Experience with Active Campaign or other CRM platforms preferred.
