Job Title: Finance Administrator

Job Summary
The Finance Administrator assists and supports the Chief Financial Officer in all financial and operational matters of the Foundation, including accounts payable, donation entry, bank and investment reconciliations, and general administrative support. The Finance Administrator will collaborate with all levels of Foundation staff to support the effective and efficient administration of the Foundation.
Key Responsibilities
Accounting
· Administer accounts payable, maintain accurate vendor records, ensure expenses are coded and documented properly, and checks are issued in a timely manner.
· Coordinate with other departments to process grant payments and award letters in an accurate, efficient, and timely manner.
· Process and deposit donations and payments received, ensuring accurate revenue coding.
· Generate and distribute 1099’s for applicable vendors after year-end.
· Assist the CFO in various functions, including the following:
o Monthly bank and investment account reconciliation.
o Journal entry preparation.
o Budgets, reports, and monthly financial statements.
o Monthly fund statement generation and distribution.
o Annual audit preparation and coordination.
Operations
· Assist in the maintenance of physical and digital recordkeeping in accordance with Foundation policies and procedures.
· Update the Foundation’s database as needed to ensure accurate recordkeeping of donors, grantees, vendors, etc.
· Assist with various administrative duties, including answering phones, hospitality, purchasing supplies and other tasks as needed.
· Assist the Office Administrator in generating and sending gift acknowledgments.
· Prepare concise, accurate and timely minutes for Foundation Board Meetings.
· Compile various departmental reports for Foundation board meetings, distribute reports to board members and communicate with board members to confirm attendance.
· Update board member orientation binder annually.
Information Technology
· Assist the CFO monitoring various IT and phone needs, including:
o Reporting technology and phone issues to the Foundation’s IT and phone service providers, coordinate technical support and maintain records to ensure a proper resolution.
o Coordination with the Foundation’s IT provider to schedule approved technology upgrades and disposals, and software updates as needed.
Human Resources and Benefits Administration
· Assist CFO in the administration of the Foundation’s employee benefits plan.
o Coordinates open enrollment annually and as needed for new hires.
o Keep benefit plan information and forms current and accessible.
Other Responsibilities
· Provides backup to the Office Administrator as needed.
· Attend, support, and/or help execute CFA events and activities.
· Maintain a proficient understanding of Foundation software.
Qualifications and Attributes
· Prior accounting/bookkeeping experience is required.
· Prior administrative experience is preferred, but not required.
· Proficiency in Office 365, including Excel, Word, Outlook, PowerPoint, SharePoint, and OneDrive.
· Effective oral and written communication skills.
· Ability to interact professionally with a broad spectrum of donors, community leaders, nonprofit representatives, Foundation board members and staff members.
· Commitment to quality work, continuous improvement, and accountability.
· Strong attention to detail, accuracy, organization and follow through.
· Ability to follow tasks through to completion with minimal supervision and within the timelines set for each project/task required.
· Ability to maintain a high degree of discretion and confidentiality.
· Flexible self-starter who works well independently, but who also thrives in a team environment, sharing ideas and working collaboratively.

Pay: From $20.00 per hour
