ABOUT THE ROLE
The Facilities Coordinator plays a crucial role in assisting onboarding of new centers and ensuring that the IVX Health facilities operate efficiently. This role is responsible for overseeing facility maintenance and repair, security, and vendor management of all operational infusion centers. This role involves coordinating various tasks to ensure a safe, efficient, and comfortable workspace for employees.
ESSENTIAL JOB FUNCTIONS
- Facilities Management
- Coordinates repair and maintenance work assignments performed by facility management technicians, vendors, contractors, and internal field teams
- Reviews, tracks, and reports facility work orders to ensure that assignments are completed in a timely manner, within agreed budget, and to standard expectation
- Manages Facility Management Vendor relationships
- Onboards and trains operations on work order ticketing system
- Manages any signage repairs for all existing center signs, including parking signs, directories, and any subsequent remodels
- Coordinate HVAC repairs and replacements with 3rd party vendor and internal stakeholders
- Space Management and Setup
- Partner with facilities team once a new lease is signed to coordinate facility utility & insurance forms
- Execute setup of new facility utilities and maintain utility reporting
- Support facility team with new utility management service audit program
- Team with the broader Facilities & Construction Department for successful completion of department build out and construction management goals
- Health and Safety Compliance
- Responsible for facilities inspections and reports, including fire inspections, maintaining AEDs, and health department inspections
- Facilitate and report on post clinic opening quality control
- Communication and Coordination
- Assist new center project coordinator with vendor setup coordination and ongoing facility inventory ordering and procurement processes
- Provide support to new center project coordinator in design standards for new center FF&E
- Coordinate municipal paperwork with project managers, general contractors and internal notary
- Support growth and operations teams in management of existing center capital budgeting
- Coordinates and manages moves, adds, and change activities for relocating centers
- Support facility team in HVAC program to maintain HVAC database, log and track HVAC preventative maintenances
- Assist in HVAC cost reporting, risk assessments and budget planning based on performance and product lifecycle.
- Serve as support to project managers in subsequent remodels and rebrands
- Organize, distribute, and report on varying surveys with the goal of improving process and clinical operations

REQUIRED EDUCATION AND EXPERIENCE
- Bachelor’s degree with a concentration in Construction, Real Estate, Facilities Management, or related field (or equivalent years of experience)
