Provide top-level confidential administrative support as the Executive Staff Assistant for the Office of the Secretary and become an integral part of the Department of Financial Institutions team!
This full-time permanent position is located within the Department of Financial Institutions, headquartered at the Hill Farms State Office Building on the near west side of Madison. We are also conveniently located close to the restaurants, shopping, and entertainment of the Hilldale Mall .

Position Summary
As the Executive Staff Assistant, you will be responsible for providing top-level administrative support to the Office of the Secretary including independently managing the calendars for members of the Secretary's office; independently fielding phone calls and other contacts to distribute and respond appropriately; reviewing and preparing confidential correspondence and coordinating the activities of special committees within the Department of Financial Institutions.
In the Secretary's Office position, you will be a liaison to the Governor's Office, legislators, other state agencies and DFI management to ensure executives are aware of developments and issues impacting the agency. Due to the nature of the work, this position must perform with a high degree of sensitivity and independent judgement.
Salary Information
This position is in schedule-range (81-04) with an hourly salary of $25.00 - $32.00, plus excellent benefits . A twelve-month probationary period is required. Pay for current state employees will be set in accordance with the Wisconsin State Compensation Plan.

Certain positions within this Department may allow hybrid/work from home flexibility for a portion of their work schedule, depending on the needs of the position and the work unit. This topic and any hybrid work flexibility that may be available will be discussed in more detail in the interview process. For permanent positions that allow hybrid work flexibility, Wisconsin residency is not required. However, it is not anticipated that working outside of Wisconsin (or bordering cities) will be allowed because positions may at times need to report to office locations in Wisconsin on short notice.
**This position requires the ability to work from the Madison, WI Hill Farms office full time upon hire, and may have options for work from home flexibility later depending on management discretion.**
Qualifications
Qualified applicants must detail having experience in all the following in order to be considered:
  • Managing multiple executive calendars for scheduling meetings and appointments
  • Providing confidential administrative support for management in an organization/business setting (Activities may include: arranging for and scheduling meetings with numerous people; reserving facilities and technology for meetings and trainings; ensuring documents meet organizational standards; editing documents for clarity and grammatical correctness; assembling materials necessary for conferences/meetings; prioritizing numerous tasks to achieve optimal productivity; etc.)
  • Utilizing computer software applications in a business setting (Activities may include independently generating and responding to correspondence and inquiries, composing and editing confidential documents, etc. utilizing programs such as MS Office products, SharePoint, Adobe Acrobat, or similar software.)
  • Interacting and communicating with internal and/or external business partners on a variety of issues/topics
In addition to having all the above, well qualified applicants will also have experience with one or more of the following:
  • Creating, maintaining, and distributing reports that provide vital information to internal/external business partners
  • Conducting research, analysis and/or making recommendations to management (i.e., reviewing and recommending policy and procedure changes; independently reviewing materials and assigning importance, process improvements/efficiencies, etc.)
