We are seeking an Executive Assistant to provide administrative support to the Managing Director by scheduling meetings, organizing travel accommodations, managing email correspondence, and performing other business-related tasks. To be successful in this role, you need to be detail-oriented, organized, and have a desire to support others. Duties and Responsibilities:
Proactively maintain Managing Director’s calendar
- Prepare all materials needed for each meeting/call
- Have webinars/calls ready prior to scheduled start
- Keep Managing Director on schedule
- Confirm all meetings 1 day prior and reschedule as needed
Arrange business/conference travel
Answer phones with enthusiasm and professionalism and direct calls
Manage email on behalf of Managing Director
- Review, sort and reply to emails
- Flag important or urgent messages
- Filter messages and “unsubscribe” to spam or unwanted messages
Greet clients and visitors upon arrival/prepare conference room/technology
Provide general office administrative support
MINIMUM REQUIREMENTS:
- Impeccable organizational skills with a great attention to detail
- Ability to adapt to continual change in priorities
- Must be able to meet deadlines in a fast paced quickly changing environment
- Passion for supporting others to include Managing Director, clients, and internal team
- Excellent written and verbal communication skills
- Highly proficient in Microsoft Word, Excel and Power Point
- Undergraduate degree in business or related field, or personal and/or professional experience in a support role
