JOB DESCRIPTION
TITLE OF THE POSITION:
SECRETARY TO DIRECTOR OF SPECIAL EDUCATION
LOCATION OF THE POSITION:
ADMINISTRATION CENTER
REPORTS TO:
DIRECTOR OF SPECIAL EDUCATION
GENERAL DUTIES:
- To assist in maintaining high quality services for staff, students, parents, and community members who utilize the services assigned to this position.
- To assist immediate supervisor in carrying out the duties assigned to that position.
- To strive for positive and collegial public relations with the staff, students, parents and community members.
- To maintain confidentiality in all areas assigned to this position.
- To assist administrative supervisors with paperwork and impedimenta so that they may devote maximum attention to the central problems of education and educational administration.
QUALIFICATIONS:
The candidate must have earned a high school diploma
Clerical experience or training preferred
Experience in a school setting preferred
ESSENTIAL FUNCTIONS:
- Possess the ability to speak clearly and be understood by others.
- Possess the ability to write legibly.
- Possess the ability and have received the training to effectively operate a computer, using a PC platform, at a level which would allow a candidate to pass a test administered for this position.
- Possess the ability to demonstrate effective telephone skills and the ability to operate a modern phone system.
- Demonstrate the ability to calmly address individuals using the services offered by the position.
- Possess an acceptable attendance history in prior positions and demonstrate the ability to meet the daily attendance requirements of the designated position.
- Possess a successful work history, supported by references, in a work setting similar to the position for which the candidate is applying.
- Demonstrate the ability to practice confidentiality with sensitive information.
- Demonstrate effective interpersonal skills to assist in establishing a positive climate in the work environment.
PERFORMANCE RESPONSIBILITIES:
- Places and receives telephone calls; records messages.
- Orders and maintains supplies as needed.
- Performs data management in coordination with systems established within the district.
- Manages and maintains a schedule of appointments for the supervisors as directed.
- Coordinates tasks with other departments within the district.
- Obtains, gathers, and organizes data as needed and puts it into usable form.
- Completes reports as directed.
- Balances the workload between the demands of Direct Supervisor (Director) and 4 Special Education coordinators.
- Maintains a neat and orderly workspace/office.
- Files and retrieves information in a timely fashion.
- Maintains such student records in I-Star, the IEP-Student Tracking and Reporting System (I-Star) ; a web-based system for collection of all Special Education students and personnel approvals and claims for reimbursement, as required.
- Makes calls and arrangements for professional development activities.
- Assists other office areas when assigned temporary tasks.
- Has knowledge of and experience with office machines and computer software programs for databases, spreadsheets, graphics, and presentations.
- Processes and monitors purchase orders, requisition requests, and budget line items.
- Maintains files and supporting documentation for district IDEA grant.
- Schedules, coordinates and monitors transportation for out-of-district placed students
- Manages process for Special Education student transportation; including generating the list of needs, communicating with stakeholders, monitoring and tracking data related to implementation.
- Other duties as assigned.
