Organization Profile: The Wenatchee Valley Symphony Orchestra (WSVO) is celebrating its 77th season. The WVSO presents a variety of symphonic performances while maintaining a roster of local and regional musicians. WVSO is dedicated to the region through its collaboration with local arts organizations, community foundations, and education/outreach programs.

Position Summary: Serve as the Executive Officer of the Wenatchee Valley Symphony Association, reporting to the Board of Trustees. Manage the human and financial resources of WVSO to support and encourage fulfillment of the orchestra’s primary mission. The position requires cooperative work with the diverse constituencies of WVSO within the limits of available financial resources. Provide managerial and administrative leadership to WVSO and collaborate with the Music Director (who must exercise responsibility for the artistic direction of the orchestra) in developing and articulating goals, objectives and plans and in executing agreed-upon strategies and programs.

JOB DUTIES AND RESPONSIBILITIES

Strategic Vision and Leadership

  • Establish the organization’s strategic direction and maintain fiscal accountability and responsibility with board involvement
  • Strive to create a culture of responsibility, teamwork, and harmony
  • Demonstrate a collaborative leadership style with the Music Director

Administrative and Operational Management

  • Oversee and coordinate all operations of the Association
  • Maintain a climate that attracts, motivates, and retains quality people – professional and volunteer
  • Work with Music Director, Board and Orchestra Team in the selection of guest artists, partners, and performing groups
  • Recruit, hire, train, and manage staff and coordinate volunteer personnel
  • Delegate specific duties to competent staff and volunteers
  • Appoint and work with Team Leaders
  • Ensure that staff and Team Leaders understand their roles and are able to fulfill those expectations, periodically consulting with each to help them assess their performance
  • Hold regular Team Leader meetings
  • Coordinate season planning with Music Director, Board, and venues
  • Monitor financial planning and financial reports
  • Negotiate contracts and agreements
  • Complete and sign official documents
  • Develop and revise season Master Board Calendar, Master Musician Calendar, and Master Operational Calendar
  • Oversee design, marketing, promotion, delivery and quality of programs, products and services
  • Ensure high-quality patron and donor services
  • Effectively manage the human resources of the organization according to authorized personnel policies and procedures that fully conform to current laws and regulations

Board Governance

  • Establish a strong working relationship with the Board in financial, programmatic, service, and performance activities, encouraging all members to participate actively and facilitating their involvement beyond board meetings
  • With the Board President, develop Board meeting agendas
  • Maintain Board manual documents; revise quarterly
  • Maintain organizational records to pass on to successive President
  • Recommend yearly budget for Board approval and manage resources within those budget guidelines according to current laws and regulations

Community and Public Relations

  • Assure the organization and its mission, programs, products and services are consistently presented in a strong, positive image to relevant stakeholders
  • Serve as chief spokesperson for the organization
  • Coordinate donor acknowledgement and services

Communicator

  • Coordinate and participate in the ongoing and active promotion of the symphony and its concerts, events and activities
  • Coordinate season literature development and distribution
  • Coordinate communications to musicians, partners, sponsors, season ticket holders, volunteers, music teachers and the community
  • Coordinate annual musician and audience surveys

Fund Development

  • Oversee fund development planning and implementation, including identifying resource requirements, researching funding sources, establishing strategies to approach funders, submitting proposals and administrating fundraising records and documentation
  • Coordinate the preparation and implementation of grant applications, grant reports and grants received

Association Manager and Developer

  • Expand the Association
  • Track volunteers and hours
  • Ensure volunteers receive acknowledgment notes, letters and benefits

SUCCESSFUL CANDIDATE PROFILE

  • Solid, hands-on, budget management skills, including budget preparation, analysis, decision-making and reporting – Knowledge of QuickBooks
  • Strong organizational abilities including planning, delegating, program development and task facilitation
  • Ability to convey a vision of the WSVO’s strategic future to staff, board, musicians, donors, etc.
  • Knowledge of fundraising strategies and donor relations unique to nonprofits
  • Skills to collaborate with and motivate board members and other volunteers
  • Strong written and oral communication skills
  • Demonstrated ability to oversee and collaborate with staff
  • Strong public speaking ability

These skills are typically gained through 2 or more years of non-profit management experience.

EVALUATION: The Governance Committee of the Board of Trustees will conduct an annual review at the end of each season, evaluating performance in each area of the stated job duties and responsibilities. Compensation review will ordinarily be done at a different time from performance review.
