The Public Affairs team is actively seeking a Redmond-based, solution-oriented Executive Business Administrator to support a team focused on leveraging communications, marketing, and public engagement to help position Microsoft as an innovative and trusted partner on key public policy and social impact issues. The Executive Business Administrator, Public Affairs works well independently, is self-driven and collaborative. This position requires someone who is a systems thinker, has proficient organization and communication skills, shows initiative, and the ability to handle multiple tasks simultaneously.
To be successful in this role, you will anticipate and remove administrative roadblocks, make timely decisions, have planning and organizational skills, experience working with financials and managing travel details. Building effective working relationships within the broader Corporate External and Legal Affairs and Communications organizations and adapting to diverse work styles and perspectives will be critical. The primary function of this role will be administrative support for the Vice President of Global Public Affairs and general administrative support for the Public Affairs leadership team consisting of three General Managers.

Responsibilities
- Provide direct and strategic administrative support, including complex calendar management with attention to details, accuracy and timeliness
- Coordination of executive internal meetings working with various admins across Microsoft
- Plan complex domestic and international travel arrangements
- Process expense reports in a timely manner
- Partner with the team’s business manager to execute rhythm of business activities and events
- Work collaboratively with the other Business Administrators across Microsoft
- Budget management, including opening Purchase Orders and other related financial support activities
- Maintaining and publishing organizational charts, aliases, processing personnel status changes and other administrative projects as assigned
- Assist with space planning and asset management
- Support the onboarding of new team members
- Procurement of goods and services using internal tools (MyOrder)
- Additional team projects as needed

Qualifications
- 7+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.
Additional or Preferred Qualifications
- Effective written and verbal skills
- Knowledge of departmental business practices and Microsoft tools
- Proficiency in Outlook, Teams, Word, Excel, PowerPoint, Visio and SharePoint
- Interpersonal, organizational & planning skills and time management
- The ability to manage routine tasks proactively and effectively, prioritize own work and resources to complete projects on time as required, identifying and seeking ways to resolve issues should they occur
- Work successfully in a team environment, build effective working relationships inside and outside of the group, ability to navigate complex corporate organization and environment
- Knowledge of Microsoft internal tools; MyOrder, Employee Central, MSAuthorize, AssetLink, MSExpense, MSSpace, Eventions, and MSTravel
