Hours of Coverage
On-site M-F, 8am-5:00pm. Additional coverage (after hours and weekends) as needed. On-call support required.
Daily
Event Support
Assist in execution of event support requests accurately.
ServiceNow
Monitor, respond to and process service requests in adherence to SLAs established using the Facility Management software (Service Now SLAs). Requests should be prioritized based on category, urgency, and priority.
Service Channel
Monitor and serve as point of contact for overseeing and managing vendors onsite to ensure the successful delivery of service agreements. Ensuring vendor s work is consistent with the HQ corporate building policies and guidelines.
Create and assign work orders to external vendors to schedule repair for building deficiencies found within 24 hours of discovery.
Operations Shared Mailbox
Monitor Operations inbox for facility requests and vendor correspondence responding within 2 business days of submission.
Weekly
Inspections/Reports
Conduct quality assurance inspections for building cleanliness using an inspection template, of buildings, conference rooms, meeting/collab spaces, pantries, and general office space to ensure adherence to janitorial specifications for each space type.
Key Management
Monitor personal and Operations Shared Mailbox for email correspondence and manage Facility Management Software for key requests. Maintain current and accurate key records.
ServiceNow
Update service records with notes to communicate progress updates to the requesting associate.
Service Channel
Monitor, review, and take appropriate actions on updating work orders based on progress to reflect changes in scheduled completion dates or scope. Provide responses within 2 business days of the required action.
Offsite Storage
Execute offsite storage/retrieval requests to and from offsite storage facility within 2 business days of submission.
Storage Space
Maintain storage spaces in a clean, neat, and orderly condition.
Bi-Weekly
Move/Add/Change (MAC)
Assist in execution of associate MAC requests.
Send list of workstations included in MAC requests to janitorial account manager by 4pm on scheduled day of MAC implementation. Workstations are to be cleaned and prepared for new occupants.
MAC request should be executed after 5pm on the day scheduled and completed by 7am the following business day.
Monthly
Inspections/Reports
Perform physical and visual inspection of buildings, conference rooms, meeting/collab spaces, pantries and general office spaces ensuring that all furnishings and room structures are in good working order in addition to identifying safety hazards in buildings.
Report inspection findings by the last business day of the month inspected.
Key Management
Conduct audits of the building s key box to ensure that no less than 5 physical copies of each building key are present. All copies of each building key must be stamped with designated code based on the building s key system.
Offsite Storage
Update and maintain inventory list of items being stored at offsite storage facility.
On-call Support
Provide on-call coverage for response to emergency calls outside of normal business hours.
Quarterly
Inspections/Reports
Provide full inspection of all facility spaces identifying physical/functional deficiencies and safety hazards to include but not limited to the following: furniture, fixtures, equipment, and interior finishes.
Report inspection findings by the last business day of the month inspected.
Semi-Annual
Off-site Storage
Perform physical inventory on all assets stored at offsite storage facility. Update Primary and Secondary POC list for business units with assigned space.
Annual
Key Management
Perform audit of all building keys and storage keys issued, does not include workstation keys. Implement and maintain appropriate procedures to ensure that all keys issued are accounted for. All audits will be documented electronically and submitted within 3 business days of completion.

What is the Lift Requirement? Physical requirements include stooping, standing, walking, climbing stairs / ladders and ability to lift / carry heavy loads of less than 50 lbs. or more.
