POSITION SUMMARY: The Executive Associate I provides clerical work for the Executive head. Executive associates type reports, forward phone calls, take messages, keep track of important documents and respond to emails. They are often considered an important link between the company’s executive and clients, or even other employees.
ESSENTIAL FUNCTIONS, DUTIES, AND RESPONSIBILITIES
The Executive Associate I will:
- Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
- Maintaining comprehensive and accurate records
- Performing minor accounting duties
- Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
- Answering phone calls in a polite and professional manner
- Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
- Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters
- Perform related work as required.
EQUIPMENT OPERATED:
- Computer (PC), phone, and other office equipment
MINIMUM QUALIFICATIONS
- Must have 2-3 years experience
- Must have time management and ability to meet deadlines
- Must have verbal and written communication skills
- Must have strong organizational skills, interpersonal skills and ability to multitask
- Must have problem-solving and decision making
- Must be proactivity and self-direction
EDUCATION
- High school diploma; Bachelor’s degree is preferred
PHYSICAL, MENTAL, AND ENVIRONMENTAL CONDITIONS
Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact as normally defined by the ability to see, read, talk, hear, handle or feel objects and controls. Physical capability to effectively use and operate various items of office related equipment, such as, but not limited to a, personal computer, calculator, scanner, copier, and fax machine. No significant climbing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, and repetitive motions.WORKING HOURS

CONDITIONS OF EMPLOYMENT
- Must be legally authorized to work in the United States of America and a U.S. Citizen. Sponsorship will not be a part of this contract
- Must successfully complete a successful background
