Summary:
The Executive Assistant plays a pivotal role in supporting the smooth and efficient operation of the managing director office. This role involves providing high-level administrative assistance ensuring and maintaining a prestigious and organized working environment. The Executive Assistant is responsible for various tasks requiring discretion, attention to detail, and excellent communication skills.
Qualifications:
- Ability to handle confidential information with discretion.
- Strong communication and listening skills; attention to detail and able to multi-task
- Strong customer service skills and ability to problem solve.
- Strong phone etiquette
- Diligent work ethic and willingness to learn.
- Previous experience with jewelry or luxury goods a plus
- GIA education a plus
- Ability to work independently but prefer to work as part of a team.
- Ability to attend events and gatherings when needed.
- Ability to drive.
Responsibilities:
- Scheduling: Assist in scheduling appointments and follow-up with clients promptly and professionally.
- Outreach: Collaborate with the managing director and the Business Development team to develop creative marketing strategies that expand the client base.
- VIP Accounts: Ensure VIP accounts receive top priority attention and service.
- Respond to email inquiries.
- Greet and assist customers when needed.
- Handle incoming /outgoing mail and packages.
- Assist in social media management.
- Take high-quality beauty shots of fine jewelry to send to clients and potential buyers upon request, contributing to the overall marketing efforts.
- Assist with private sales, manage client payments, oversee the physical boutique space, and rotate product displays on a bi-weekly basis and ensure proper presentation of the fine jewelry.
- Assist in uploading products into the ecommerce platform.
- Assist in uploading products into our internal database system.
- Completing spreadsheets and service documents
- Answering phone calls when needed.
- Running errands when needed
- Perform clerical duties such as filing, photocopying, transcribing, emailing and faxing documents.
- Arrange dining & travel reservations.

Schedule:
- Monday & Tuesday: 9:30AM to 5:30PM
- Thursday & Friday: 9:30AM to 5:30PM
- Occasional Weekend.
- Schedule might be subject to change during holidays and peak seasons.
Compensation:
- $20-$25 per hour.
- End of year bonus.
