- Schedules appointments/meetings for the Chancellor’s Office making changes as necessary. Coordinates meetings and prepares agendas for staff. Assists at various meetings and functions as needed. Attends meetings, takes, and transcribes minutes for the Executive Leadership Team (ELT) meetings, student and employee proceedings, matters of security and of a confidential nature and performs basic follow-up. Notes and coordinates commitments made by the Chancellor during meetings and arranges for staff implementation. Helps maintain permanent records for accreditation purposes.
- Maintains historic files of Chancellor and College events.
- Maintains a calendar of activities and confirms engagements. Makes travel arrangements and requests travel reimbursements.
- Handles a wide variety of situations and conflicts involving the clerical administrative functions of the office. Responsible for confidential and time sensitive materials.
- Assists using all methods of communication: telephone, fax, email and/or personal contact.
- Screens visitors and telephone calls to the Chancellor, assisting or referring the calls as appropriate.
- Reviews incoming reports and summarizes the reports.
- Prepares routine correspondence including letters, memoranda, and reports; may compose and type correspondence involving complex and non-routine matters; edits a variety of correspondence, materials and reports for completeness, accuracy, and adherence to agency standards for the Chancellor’s signature.
- Prepares and manages a variety of contracts, interagency agreements, articulation agreements, manuals, and other important documents. Renews as necessary.
- Maintains and updates office files.
- Tracks and orders office supplies.
- Provides assistance from the Chancellor’s Office to the SOWELA Foundation Board.
- Compiles attendance lists by managing the RSVP process.
- Attends and actively participates in various campus events.
- Assists with college fundraising programs.
- Conducts follow-up of all arranged events.
- Maintains list of all College events with knowledge of the purpose, date, audience, and budget for each activity.
- Develops and maintains event and volunteer databases.
- Maintains positive supportive relationships with College internal departments and external sources to ensure successful implementation of each event.
- Responsible for the management of budgets, billing arrangements and invoices for specific events.
- Collects and compiles data to prepare various reports as requested; completes reports and surveys for state and federal agencies.
- Assists in the preparation of annual reports for accreditation; takes part in the preparation of Southern Association of Colleges and Schools Commission on Colleges (SACSCOC) accreditation activities.
- Assists in the preparation of agenda items for submission to the LCTCS Board of Supervisors
- Other duties as deemed necessary.
Required Education: • Associate degree in a business or customer service-related field.
Required Experience: • Five 5 years of experience as an administrative assistant or in a related function in a similar environment.
